DescriptionThe BMT Administrative Coordinator is responsible for coordinating workup testing and insurance authorization, as well as scheduling of bone marrow harvests, stem cell collections, and infusions for the Bone Marrow/Stem Cell Transplantation, Cellular Therapy, and Multiple Myeloma programs. The Administrative Coordinator works with a team of colleagues to perform these tasks.
Responsibilities- Responsible for coordinating all steps of bone marrow/peripheral blood stem cell (PBSC), CAR T-cell therapy, and gene therapy collection workups.
- Interacts with patients and family members to coordinate scheduling.
- Contacts insurance companies to initiate harvest and transplant cases.
- Reports workup scheduling and insurance authorization status to the clinical team.
- Collaborates with various departments for a patient-friendly schedule and experience.
- Ensures that appropriate orders have been entered in the EHR.
- Maintains and completes all insurance assessment forms and agreements. Ensures forms are accurate for claims processing.
- Assists with Standard Operating Procedure revisions for workflows related to the BMT Administrative Coordinator team.
- Verifies patients’ insurance benefits and obtains authorizations for procedures.
- Informs patients of any potential patient out-of-pocket liability. May facilitate resources to bridge the gap between insurance coverage and patients’ liability.
- Assists patients with questions or problems regarding insurance coverage and other financial matters.
- Provides support and coverage to other members of the Administrative Coordinator team.
- Assists the BMT Program Manager and clinicians with any tasks identified to support the department.
- Labels and delivers specimens to lab, as necessary.
- Facilitates donor searches, evaluation and collection of related and unrelated donors identified through domestic and international registries in a timely and accurate manner in collaboration with nurse Transplant Coordinators.
- Interacts with patients, family members, and donors to obtain information related HLA typing.
- Attends meetings and huddles with multidisciplinary teams to coordinate care for patients.
- Maintains case documentation in physical and virtual files as instructed, and updates trackers to facilitate case coordination.
Qualifications- Bachelor’s Degree or equivalent combination of experience applicable
- Experience obtaining prior authorizations from insurance companies required
- Experience with Epic EHR system preferred
- Prior experience in oncology and/or bone marrow transplant and cellular therapy preferred
