LA Concrete Works, an established leader in architectural hardscape and decorative concrete seeks to fill the position of Administrative Coordinator and Customer Support for the Sales and Operation team for the Concrete and Decorative division. This person would be the primary administrative support person, reporting to the Project Manager of the concrete and decorative business.
Key Job Responsibilities
- Serve as the first point of contact with incoming prospective clients via phone, email, Yelp and online websites. Effectively gather information and get screening questions answered.
- Consistently track all communications with prospective clients, monitor progress of communications, and
identify when next steps are needed
- Monitor the progress and status of all outstanding bids for new projects, receipt of bids from prospective clients, tracking of client communications, and identify when action is needed. Assist with follow-ups as needed.
- Assist with calendar and scheduling as needed
- Once contracts are signed, gather and put together all job start documents for the field including proposals, submittals, and takeoffs
- Assist with drafting change orders, sending and tracking all open change orders, confirm receipt, and advise manager on follow-ups needed to ensure they are signed and approved
- Help with customer service with current clients, and screen and funnel client concerns to the appropriate team members
- Assist with updating database of clients ensuring all contact information is regularly updated
- Assist with calling GCs to get updates on project timing and scheduling
- Assist with monthly and weekly reports that show the progress and performance of the decorative and concrete divisions
- For each new project, create the digital folder, download plans, put on calendar, and make sure all information is ready for the estimator
- Request material quotes from outside suppliers as needed
- Complete and send full submittal package to GC for approval and following up if there are questions and comments
- Help to identify and support the development of more efficient systems and processes in the business
- Assist with marketing efforts as needed to include:
- Social media posts, Social media scheduling via Planoly, Email marketing, job photos for marketing use, other as needed.
- Making updates to the website
- Other administrative support as needed
Job Skills & Qualifications
- Minimum 3-5 years of experience in an administrative and/or coordinator role
- Interest in the construction industry
- Construction industry experience a plus
- College degree preferred
- Computer savvy and proficient with Microsoft Office including Excel and Word
- Experience with using a CRM online system for sales and marketing (e.g. Hubspot) a plus
- Great customer service and ability to communicate and interact well with different clients and co-workers
- Team oriented and proactive in helping others
- Positive, can-do attitude
- Versatile and able to manage multiple tasks across a wide range of different areas
- Action oriented and takes initiative and action confidently and without hesitation
- Proactive in identifying key issues and challenges and following up
- Results-oriented and accountable for achieving key performance metrics
- Fast learner and proactive in asking questions to clarify understanding and expedite learning
