POSITION DETAILS
Reporting to the Director of Operations, the Administrative Coordinator serves as the primary point of contact for the Office of Human Resources. The position is responsible for ensuring professional front desk operations while managing administrative office functions, coordinating office operations, supporting budget and purchasing activities, and providing administrative support to the Director of Operations and the Human Resources Office. The position coordinates departmental activities, supports special projects and operational initiatives, and helps ensure the efficient delivery of HR services to the College community.
- Serve as the primary point of contact for the Office of Human Resources by greeting visitors, answering, screening, and directing telephone calls, and responding to general inquiries from employees, applicants, retirees, and members of the College community.
- Coordinate day-to-day administrative operations of the Human Resources Office, including office workflow, supply and inventory needs, purchasing activities, service requests, records, and general administrative support.
- Receive, review, and route HR documents, employment applications, and correspondence to the appropriate Human Resources staff.
- Provide administrative support to the Director of Operations, including coordinating calendars, scheduling meetings, preparing correspondence, reports, presentations, and other administrative materials.
- Provide administrative support to the Talent Acquisition and Engagement team by assisting with recruitment activities, interview scheduling, onboarding, employee engagement initiatives, and other hiring-related functions.
- Assist with departmental projects, operational initiatives, and administrative activities across multiple Human Resources functions.
- Order office supplies, monitor inventory, process purchasing and vendor requests, and assist with budget tracking, invoice processing, and other administrative and fiscal activities.
- Maintain confidential departmental records, files, and documentation in accordance with College and University policies.
- Prepare reports, maintain spreadsheets, track assignments, and assist with data collection and analysis using Microsoft Office and University systems.
- Collaborate with Human Resources staff to support departmental operations and perform related duties as assigned.
Qualifications
Bachelor’s degree required.
Preferred Qualifications
- Experience providing administrative support in a Human Resources, higher education, or other professional office environment.
- Excellent customer service, interpersonal, and written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint); experience with HRIS or ERP systems (e.g., CUNYfirst or Workday) is preferred.
- Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive information.

Salary Range: $58,705 - $68,470. Salary commensurate with education and experience.
