Responsibilities

  • Provide administrative support for the Dean and faculty in the School of Education and Child Development.
  • Prepare reports, data, exams, and manage events including on/off campus venues.
  • Organize and maintain minutes for departmental meetings and keep records of correspondence.
  • Handle incoming/outgoing correspondence and greet visitors professionally.
  • Maintain appointment and travel schedules for dean, chairs, and faculty.
  • Prepare mailings, draft correspondence, and assist with materials for printing.
  • Enter course schedules and budget information for registrar review.
  • Schedule use of building space and assist with accreditation reporting as needed.
  • Perform other duties as assigned.

Job Summary:

Provides administrative support for the Dean of the School of Education and Child Development and for faculty in theSchool of Education and Child Development.

Duties/Responsibilities:

This job description is not to be construed as an exhaustive statement of duties or responsibility requirements. Employees may be required to perform other job-related instructions as requested by the supervisor, subject to reasonable accommodation.

  • Responsible for preparation of reports, data, exams, etc. and managing events, including on-off campus venues.
  • Organizes and maintains minutes for departmental meetings.
  • Keeps accurate records of departmental correspondence and Teacher Education Council meetings.
  • Responsible for the flow of incoming and outgoing correspondence.
  • Greet visitors and respond to inquiries in a pleasing and professional manner.
  • Maintain inventory of office supplies and order supplies as needed.
  • Responsible for multiple credit card and monthly reconciliation of departmental credit card statements. Prepare check requests, purchase requisitions, etc.
  • Manually maintain non-complex office filing system.
  • Maintain appointment and travel schedule for the dean, chairs, and faculty as needed.
  • Prepare mailings and type correspondence; attend meetings, prepare and distribute minutes when needed.
  • Produce forms, promotional materials, programs, etc., work with printers and copy services.
  • As needed utilizing software programs/databases, assists with entering course schedules and budget information for review by registrar and academic affairs.
  • Schedules use of building space.
  • Assists with electronic data management for state and federal reporting as well as accreditation reports (monthly).
  • Performs other duties as assigned.

  • Excellent computer skills and proficient in the use of all components of Microsoft Office; good design capability,

  • Ability to maintain confidentiality of all materials handled and seen in process of performing job responsibilities.
  • Understanding of program deadlines and the academic process related to the programs.
  • Ability to prepare reports, business correspondence, and procedure manuals.
  • Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule format.
  • Ability to be creative and flexible.
  • Ability to have neat professional appearance for greeting students, faculty, and campus visitors.
  • Ability to handle stressful situations in a calm, orderly, and accurate manner, to complete work on time and to deal
  • with the public.
  • Ability to work independently in order to organize and prioritize workload.
  • Analytical skills are necessary for maintaining records and preparing reports.
Education and Experience:
  • High school diploma or equivalent is required. Post-secondary education or associate degree preferred.
  • Three years proven administrative experience is required.
  • An equivalent combination of education and experience is required.
Supervisory Responsibilities:
  • May supervise student assistants.
