Position Focus
Job Overview
WAMSCO is seeking a highly organized, detail-oriented, creative, and versatile
professional to serve as our Administrative Coordinator. This position will handle
organizational communications and a variety of administrative and grant-related
responsibilities while also supporting WAMSCO's conservation programs and
implementation projects.
This is a multidisciplinary position suited for someone who enjoys working both behind the
scenes and in the field. The ideal candidate will be equally comfortable developing a
grant application, tracking and managing finances, designing professional marketing
materials, assisting with restoration projects, creating educational materials, and
communicating with landowners, community members, partners, and funders.
Core Responsibilities
1. Administrative & Organizational Support
- Maintain organized digital and physical records related to WAMSCO programs,
- Assist with scheduling, meeting preparation, event logistics, correspondence, and
- other organizational needs.
- Maintain calendars and project schedules.
- Prepare reports, presentations, meeting materials, and organizational documents.
- Coordinate communications with project partners and stakeholders.
- Assist the WAMSCO Board with special projects and other organizational priorities.
- Support the overall operation of a growing nonprofit organization and contribute
- wherever needed to advance WAMSCO’s mission.
- Participate in fieldwork, restoration activities, planting events, and other hands-on
- conservation activities as needed.
- Maintain accurate project records, photographs, monitoring information, and other
- documentation.
- Assist with evaluating project outcomes and preparing reports for funders and
- partners.
2. Grant Administration & Financial Management
- Assist with identifying, researching, and preparing grant applications.
- Assist with developing project budgets and monitoring expenditures throughout the
- Track grant deadlines, deliverables, budgets, project milestones, and reporting
- requirements.
- Maintain organized records of grant-funded activities and expenditures.
- Prepare and submit grant reimbursement requests.
- Track payroll, project expenses, invoices, receipts, and other documentation
- required for grant reimbursement and compliance.
- Assist with preparation of progress and final grant reports.
- Coordinate with staff, President, Treasurer, and project partners to ensure grant
- requirements are met.
3. Communications, Marketing & Public Relations
- Develop graphics, flyers, brochures, educational materials, signage, presentations,
- and promotional materials.
- Photograph, video, and document WAMSCO projects, events, restoration activities,
- and educational programs.
- Maintain and update website content, including program information, events,
- educational resources, and organizational news.
- Help communicate technical conservation information in a way that is accessible
- and engaging to the general public.
- Promote WAMSCO's programs and demonstrate the organization's impact through
- storytelling, photography, graphics, data, and other communications.
- Assist with social media campaigns to promote WAMSCO programs, events,
- projects, educational opportunities, and partner initiatives.
- Assist with media relations, press releases, public announcements, and other
- external communications.
4. Conservation Program & Project Coordination
- Assist with planning, coordinating, implementing, and documenting WAMSCO
- conservation projects.
- Support projects involving shoreline restoration, agricultural best management
- practices, native plantings, water quality, and other natural resource initiatives.
- Communicate with municipalities, counties, landowners, farmers, conservation
- organizations, state agencies, and other project partners.
- Represent WAMSCO at community events, conferences, fairs, workshops, and
- other public events.
- Deliver environmental education programs for students, adults, farmers,
- landowners, community groups, and other organizations.
- Develop lesson plans, presentations, activities, demonstrations, and educational
- materials related to water resources.
- Lead or assist with classroom presentations, field trips, workshops, educational
- events, and community programs.
Required Qualifications
- Degree and/or equivalent experience in accounting, communications, marketing,
- nonprofit management, environmental studies, or a related field
- Ability to manage multiple projects, deadlines, and priorities.
- Detail-oriented
- Strong organizational and project management skills.
- Experience with public speaking, education, presentations, or community
- Proficiency with common office and digital communication software: Microsoft
- Experience developing professional, written, and visual content.
- Experience with social media and digital communications.
- Self-motivated with the ability to work independently and collaboratively.
- Demonstrated interest in conservation and natural resources.
- Willingness to learn natural resource concepts and participate in field-based
Preferred Qualifications
- Basic knowledge of natural resources, shoreline restoration, aquatic life, and/or
- agriculture best management practices
- Experience with grant writing and reimbursement processes.
- Experience using QuickBooks and tracking finances.
- Experience with graphic design software.
- Experience working with nonprofits, government agencies, or conservation
- organizations.

Physical & Work Environment
This position involves a combination of office, field, and community-based work. Field
responsibilities may include walking uneven terrain, working around water, carrying
equipment and materials, and working outdoors in varying weather conditions.
The position occasionally requires evening or weekend work for educational programs,
events, meetings, workshops, or other activities.

The Administrator / Programs & Communications Coordinator will help connect all of
