Job summary

Weill Cornell Medicine's Dan A Landau Lab on the Upper East Side is seeking an Administrative Coordinator to manage day-to-day financial, administrative and operational activities, ensuring the office runs smoothly.

The role handles workflow analysis, account reconciliation, procurement, disbursements, staff training and inventory management, with duties extending to facilities coordination and grant-related support where applicable.

Qualifications

  • Bachelor's Degree required.
  • Approximately 3 years of related experience.

Responsibilities

  • Routinely analyzes and evaluates workflows to ensure maximum efficiency.
  • Reviews and reconciles accounts, financial transactions and reports; investigates discrepancies and escalates issues.
  • Identifies and follows up on unanticipated/non-budgeted expenses/variances.
  • Procurement of goods, services, and/or equipment as needed.
  • Disbursement/reimbursement activities as needed.
  • Provides training to staff in office systems and procedures.
  • Maintains inventory of supplies and equipment; may order or escalate needs.
  • Ensures facilities and equipment are in optimal condition; coordinates maintenance and upgrades as needed.
  • Assists with grant management activities for Principal Investigators if applicable.
  • Performs other related duties as assigned.

Position Summary

Manages day-to-day financial, administrative and/or related operational activities to ensure the smooth functioning of the office.

Job Responsibilities
  • Routinely analyzes and evaluates workflows to ensure maximum efficiency.
  • Reviews and reconciles accounts, financial transactions, documentation and/or financial reports. Investigates and corrects discrepancies. Escalates issues as needed.
  • Identifies and follows up on unanticipated/non-budgeted expenses/variances.
  • Responsible for procurement activities related to goods, services, and/or equipment as needed.
  • Responsible for disbursement/reimbursement activities as needed.
  • Provides training to staff in office systems and procedures.
  • Maintains inventory of supplies, equipment and/or reagents. May order supplies/equipment/reagents as authorized or ensure that needs are escalated appropriately. Receives supply orders and confirms accuracy of delivery. May assist with cost control.
  • Ensures that facilities and equipment are in optimal and proper working condition. Coordinates preventative maintenance and repairs as needed. May perform minor repairs if qualified and as needed. May advise on upgrades for performance enhancements.
  • If applicable, manages the appointments and promotion process for all academic and faculty appointments within the department.
  • If applicable, assists Principal Investigators with grant management activities.
  • Performs other related duties as assigned.
Education
  • Bachelor's Degree in related field
