Essential Duties
Administrative Assistant for Victim Witness will perform complex secretarial and receptionist duties including but not limited to the following:
- Answers telephone inquiries; handles incoming calls for the Coordinator and Specialists; provides information on criminal cases and related Chapter 950 services; refers callers to other agencies as needed.
- Greets victims/witnesses, processes their subpoenas; and notifies the specialist and attorney on the case of victim/witness arrival.
- Assist victims in the process of gathering and documenting losses for restitution purposes.
- Provides accurate information to citizens who inquire about victimization and any corresponding criminal case; provides victims and witnesses with information about Chapter 950 services.
- Types required correspondence for victims of criminal cases, including notice of court hearings and dispositions.
- Creates, maintains, and manages templates in current case management software program for victim correspondence and notification.
- Responsible for the daily victim witness subpoena call-off voicemail message.
- Develop and create brochures and documents for victim witness information and documents as requested by attorneys as pertaining to Chapter 950 functions.
- Maintains office supply and printed form inventory.
- Manages documentation from victims in corresponding files including but not limited to; victim rights request forms, victim impact statements and restitution forms.
- Draft motions at the request of attorneys for court approval to determine restitution in criminal cases.
- As a back-up; meet with the prosecuting attorney and victim/witness; provide court escort; assist prosecuting attorney with witness for court proceedings; occasionally accompany unattended children in the waiting room while parents give testimony.
- Without direct supervision, provide direct assistance to crime victims and witnesses to comply with requests for mandated services.
- Without direct supervision, make independent decisions regarding crisis situations in which victims and witnesses are emotional and need immediate referral or intervention.
- Without direct supervision, gather and assist in determining restitution information from criminal files and reply to correspondence from probation and parole to establish correct restitution amounts.
- Provide immediate direct victim assistance and court escort when other staff members are not available.
Qualifications
- High school graduate or equivalent.
- Two or more years experience at the Secretary II position in a Victim Witness/District Attorney’s office. Promotion is at the discretion of District Attorney with approval of appropriate committees.
- Ability to type 60 or more words per minute with reasonable accuracy.
- Proficient clerical skills and knowledge of office terminology.
- Understands and effectively carries out oral and written instructions.
- Advanced proficiency knowledge in computer software, including word processing, database, financial programs, and other specialized software pertaining to the operations of the office.
- Advanced knowledge of the criminal court process and Wisconsin State Statutes.
- Ability to abide by office procedures and to keep all information confidential.
