The job of Grade 3 Secretary reporting toDirector- was established for the purpose/s of providing complex and confidential secretarial and administrative support to the school-site principal and other administrators as well as ongoing support for the broad array of services provided to students, parents, instructional and support employees; conveying information regarding school functions and procedures; ensuring the efficient operation of site administrative support functions; and coordinating assigned projects and site activities.
This job reports to the Principal or Assigned School Site Administrator.
Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include operating standard office equipment; using pertinent software applications; and preparing andmaintaining accurate records.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include concepts of grammar and punctuation; basic bookkeeping principles; officemanagement procedures; business telephone etiquette; and common office machines.
ABILITY is required to schedule a number of activities, meetings, and/or events; gather and/or collate data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize job-related equipment. Problem solving is required to analyze issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Responsibilities include: working under limited supervision using standardized practices and/or methods; directing other persons within a small work unit; and tracking budget expenditures. The majority of working hours will be spent in an office setting.
Light physical activity such as walking and standing, is required on a daily basis.
Some local travel to complete office errands may be required.
