Job summary

Arvo Advisors in Columbus, OH is seeking an Administrative Assistant/Tax Processor to support staff with administrative duties and to finalize prepared tax returns. This is a full-time, in-office, non-exempt role with overtime during peak tax seasons.

You will process 1099 filings, tax returns, and e-file with authorities, mail documents, manage filing systems, and communicate with clients while handling sensitive information with confidentiality and professionalism.

Qualifications

  • Three+ years of administrative experience.
  • Tax processing experience preferred.
  • Experience with Thomson Reuters software preferred.
  • Strong skills in Microsoft Office and Adobe.

Responsibilities

  • Process and assemble 1099 filings, tax returns, and e-file with authorities.
  • Mail hard copies and send electronic deliverables.
  • Scan, copy, organize, and distribute sensitive documents.
  • Respond to and correspond with clients promptly.
  • Maintain electronic and physical filing systems.
  • Oversee supply inventories by checking stock and anticipating needs.
  • Provide support to team members when needed.
  • Act as a backup to the receptionist when needed.

Administrative Assistant/Tax Processor

Position Summary

We are seeking a full-time, highly organized, and detail-oriented individual to support our firm's staff with all administrative aspects of their client work; this individual will also process the final product of prepared tax returns. The right candidate will demonstrate strong problem-solving skills, the ability to multi-task, and the ability to quickly adapt to the ever-changing tax world. Key Responsibilities
  • Work closely with our team to ensure a quality product is delivered to clients, including effectively processing and assembling 1099 filings, tax returns, and e-filing returns with taxing authorities

  • Mail hard copies of tax returns and financial statements, and send electronic deliverables

  • Carry out administrative duties such as scanning, copying, organizing, and properly distributing sensitive documents

  • Reply to and correspond with clients in a timely manner

  • Maintain electronic and physical filing systems

  • Oversee supply inventories by checking stock and anticipating supply needs

  • Provide support to the team members when needed

  • Act as a backup to the receptionist when needed

Qualifications
  • At least three years of administrative experience

  • One year of tax processing experience preferred, but not required

  • Knowledge of the Thomson Reuters tax/accounting software suite preferred

  • Strong knowledge of Microsoft Office and Adobe

Work Environment & Schedule
  • Full-time, hourly, non-exempt, in-office position based in Columbus, OH

  • Overtime is required to meet tax deadlines, approximately 50-55 hrs/week from March 1 through April 15

  • Observes the firm's holiday schedule
