Job Description: Administrative Assistant - Subcontractor

Ultimate Staffing has been contracted to assist an established company in the construction industry with their search for an Administrative Assistant in Boynton Beach, FL.

Position Type: Direct Hire

Location: Boynton Beach, FL

Salary: $20-23/hr, commensurate with experience

Working Hours: 8 a.m. to 5 p.m.

Position Summary:

We are seeking an entry-level Administrative Assistant to join our corporate office in Boynton Beach. The successful candidate will primarily focus on conducting insurance compliance audits for subcontracted labor teams, organizing, and coordinating with them to ensure efficient and effective planning of fieldwork.

Responsibilities:

Conduct biweekly audits of subcontractors' workers' compensation (W/C) policies on the Division of Workers Compensation search page to ensure compliance.

Communicate with subcontractors and/or insurance brokers as needed.

Manage the addition and removal of subcontractors' names and policies into the Division of Workers' Compensation Policy Tracking Database and monitor related emails.

Regularly communicate with Field Superintendents and Area Managers to track crew leader changes.

Request a roster of employees every week from all subcontractors using an Employee Leasing Company and distribute them to the field on a weekly basis.

Ensure all subcontractors' general liability (GL) and workers' compensation (WC) policy information is up to date in our system.

Perform other miscellaneous job-related duties as assigned.

Requirements:

Fluency in both written and oral English and Spanish is required.

3+ years of administrative assistance experience.

High school diploma or above.

Proficiency in Microsoft Excel, Word, and Outlook.

Strong attention to detail and accuracy.

Excellent organizational skills and ability to multitask.

Proactive approach in seeking process efficiencies.

Customer service-oriented, both over the phone and in person.

Ability to work in a team environment.
