Primary Purpose: Provides administrative duties for the Department Director.
Qualifications/Skills: Education/Certification:
- High School Diploma or equivalent, some college preferred.
Special Knowledge/Skills:- Broad knowledge of MS Word and MS Excel.
- Proficiency in use of calculator and office machines.
- Ability to communicate effectively.
Experience:- Advanced clerical, secretarial and bookkeeping knowledge.
Major Duties and
Responsibilities: Clerical Support:- Manage the Department office.
- Maintain records and issue payments for all Department Employees.
- Perform administrative duties such as receiving, processing and filing documents.
- Maintain time and attendance records for Department Employees.
- Perform administrative duties concerning the telephone system, mail and document filing.
Communication and Phones:- Schedule appointments, meetings and conferences
- Receive incoming calls, answer questions, and direct calls to the proper party.
- Prepare correspondence using personal computer.
Records and Reports:- File office copies of checks, requisitions, invoices, and purchase orders.
- Keep records up to date.
Accounting:- Manage all aspects of accounting records for all funds used in the Department.
- Prepare and maintain payroll records, reimbursements for all Department employees.
Other:- Perform other duties as assigned.
Supervisory
Responsibilities: None
Equipment Used: Computer and various office equipment.
Working Conditions: Mental Demands:
- Maintain emotional control under stress.
- Work with frequent interruptions.
- This position requires regular in-person interaction with the public.
Physical Demands:- Prolonged use of computer.
- Repetitive hand motions.
- Frequent sitting, stooping, bending, pushing and pulling.
- Moving small stacks of textbooks, boxes, equipment and other campus equipment.
