Position Summary/Job Description

Reporting to the Dean of Humanities and Social Science, the Administrative Assistant provides advanced administrative support, operates independently in prioritizing own workload in determining how best to accomplish work objectives. Is proactive in identifying, following-thru, and resolving various issues. Participates in special projects, as required.

Salary Grade: 108

Summary Of Duties

  • Provides advanced administrative support for the Dean and School of Humanities and Social Sciences.
  • Provides telephone coverage and screening.
  • Provides assistance to students, faculty and staff regarding appointments, inquiries, and procedures.
  • Create and maintain confidential files and records. Create and process School purchase orders and check requests.
  • Initiate and independently compose correspondence, presentations, reports, tables and documents of a complex, technical, or confidential nature. Import and export data and graphics; design and create presentation materials; perform custom formatting, and editing of text.
  • Ability to work with various office, virtual technology and software applications, including but not limited to Zoom and Webex.
  • Participate in special projects as assigned.
  • Maintain Dean’s and School’s calendar. Schedule daily, monthly and annual meetings.
  • Make travel arrangements and prepare proper request and reimbursement for Dean. Provide consultative support for staff and faculty.
  • Prepare faculty and adjunct contracts.
  • Access and maintain department databases to locate and retrieve information, input and update data, and generate various reports.
  • Maintain daily workflow distributing School mail, and maintaining inventory and ordering supplies.
  • Liaison to the various Academic Schools, College Offices, Accounts Payable, Academic Affairs and President’s Office. Work with external contacts including vendors.
  • Provide guidance and direction to Academic Support Specialists, part-time office staff, and student workers.
  • Project a positive self-image of professionalism and integrity at all times.
  • Perform various other administrative support activities, as needed or as assigned. Remain flexible and adaptable in work schedules and work assignments based on College and/or School needs.

Qualifications

  • High School diploma or equivalent, with a minimum of five years of related work experience.
  • Effective communication and interpersonal skills.
  • Computer proficiency with an emphasis on word processing, spreadsheet, and data management skills.
  • Excellent Customer Service and problem-solving skills.
  • Able to operate independently, prioritize and organize own work schedule, multi-task, and meet established deadlines. Excellent typing, keyboarding, recordkeeping skills.
  • Effective organization and prioritization skills required.
  • Knowledge of commitment to the role of a comprehensive community college in an urban setting.
  • Excellent typing, keyboarding, recordkeeping, and organization skills required.

Overview

More than 90% of HCCC’s students receive scholarships, grants, and loans to finance their education, and the College’s extensive financial aid program helps connect students with the resources they need. To date, the College’s Foundation has raised over $3.5 million for student scholarships, and HCCC ranks first in the state of New Jersey for its award of Community College Opportunity Grant funds. About half of its more than 12,000 credit students identify as Hispanic, and more than 33% of all students were born outside of the U.S. In 2021, HCCC had two students selected from a national applicant pool to receive the prestigious Jack Kent Cooke Foundation’s Undergraduate Transfer Scholarship and recently six students were named as 2023 semi-finalists.

HCCC has three campuses. The largest campus is located at the heart of Jersey City’s Journal Square, which is approximately 20 minutes from New York City. The College has a North Hudson Campus, located in Union City, New Jersey and an additional location at the Hudson County Schools of Technology in Secaucus, New Jersey. The College offers 70 degree and certificate programs and more than 300-day, evening, and weekend courses throughout its three-campus network.

HCCC offers 21 fully online degree programs and expects this number to grow in the coming year. In addition to its degree programs and courses, HCCC offers a wide array of non-credit classes and programs designed to develop professional skills, provide occupational training, teach languages and culinary skills, and enrich personal knowledge.

Achieving the Dream is a national reform network of high-performing community colleges that are focused on leveraging data-informed best practices to promote equitable outcomes. In recognition of its gains in student retention and completion, as well as its narrowing of equity gaps, HCCC received Leader College designation from Achieving the Dream in 2023. The College boasts several signature programs, including a nationally recognized Culinary Arts Institute. HCCC’s Exemplary Accredited Culinary Arts Institute is one of the few programs in the New York Metropolitan region to hold accreditation from the Accrediting Commission of the American Culinary Federation Education Foundation. The Culinary Arts Institute features state-of-the-art facilities and a hands-on program that prepares students for a range of careers in the hospitality industry. The College also has a Bloomberg Finance Lab, which provides students with real world experience to prepare them for employment in banks, corporations, and government agencies. A leader in workforce development, HCCC hosted The Aspen Institute’s Workforce Leadership Academy, which was the first to be offered in partnership with a community college. The Hudson County Workforce Leadership Academy was funded through a combination of public and private donors that included JPMorgan Chase, The Harry and Jeanette Weinberg Foundation, The W.K. Kellogg Foundation, the County of Hudson, the LeFrak Family, and Mack-Cali.
