Job description

Position Summary

Cambrian College’s School of Community Services, Interdisciplinary Studies, and Public Safety (CIPS) and Department of Planning, Institutional Research, and Quality (PIRQ) has an immediate requirement for a full-time Administrative Assistant.

Note: Internal candidates, as defined by the Full-Time Support Staff Collective Agreement, will be given first consideration

Duties and Responsibilities

  • Provide administrative support to the administrative and faculty teams; attend and record meetings, finalize agendas, help the team understand processes and procedures, reserve rooms, and submit work orders as needed.
  • Maintain a professional and welcoming office environment, greet all visitors in a professional manner, and assist visitors in locating campus resources and services.
  • Provide exceptional customer service experience for all CIPS and PIRQ partners, both internal and external.
  • Perform data entry/reporting in Excel and Microsoft Teams, maintain and update departmental folders, and ensure the security and confidentiality of all processes.
  • Analyze payroll submissions for part-time staff and faculty.
  • Maintain and support the department’s role in complying with the records retention policy.
  • Organize logistics for all department committees, taking accurate, concise minutes of committee meetings, including organizing Program Advisory Meetings.
  • Set-up and maintain departmental files including faculty and student files and correspondence, with the Dean, Chairs, and Managers, both general and confidential in nature.
  • Order office and teaching supplies for the department.
  • Book appointments and help triage requests for the Dean and both Chairs.
  • Liaise with College staff, students, and external agencies to help problems solve and refer students and faculty to CIPS / PIRQ and campus resources.

Qualifications

Required:

  • Minimum of a two-year postsecondary diploma in an Admin Assistant program or a related field. (A copy of educational documents must be submitted with application *** education completed outside of Canada, applicants are required to submit a WES or ICAS with their application).
  • Minimum of five years of experience as an administrative role in an educational setting with excellent administrative skills.
  • Experience in an environment where adaptation and adjustment to working with people, and adjustment to rapid change and short timelines.
  • Collaborative and proactive professional who promotes teamwork and works cohesively within a team-oriented environment.
  • Proficiency in Microsoft Office (Word, PowerPoint, and Outlook).
  • Sound skills in using Microsoft collaboration tools such as (MS Teams, OneDrive, OneNote).
  • Familiar with data inputting, tracking and sharing tools (Excel, MS Forms).
  • Excellent interpersonal and communication skills; excellent organizational, time management, and prioritization skills.
  • Ability to be a self-starter and work independently with little supervision or instruction.
