Job description

About the job: Administrative Assistant (Remote)

This is a part-time position, initially 15-20 hours weekly through November 2022, with potential to increase to 24-30 hours per week afterward. Perks are not included. The role is remote and requires communication with the supervisor, team members, and clients via email, telephone, and Microsoft Teams.

Responsibilities / Administrative Assistance:

  • Organize electronic project reports, such as creating project-specific directories.
  • Assist with arranging and preparing specialized documents and presentations upon request.
  • Manage and update program user guides.

Responsibilities / Regulatory Support:

  • Assess environmental documentation and ensure regulatory compliance.
  • Enter records into online databases and review electronic documents against regulatory standards.
  • Conduct regulatory research.
  • Monitor a project email inbox received from clients and subcontractors.
  • Understand client Standard Operating Procedures to effectively support customer areas.

Required Skills:

  • Organized and detail-oriented.
  • Ability to work remotely and independently.
  • Capable of multitasking in a fast-paced environment and prioritizing tasks effectively.
  • Strong note-taking skills.
  • Effective communication skills via phone and email.
  • Proficient in data entry and Microsoft Office Suite (Teams, Outlook, Word, Excel, PowerPoint).
  • Experience with Adobe Acrobat, including editing and managing reports.
  • Ability to set up and maintain electronic filing systems for technical documents.

Hard Skills (Must-Haves):

  • Proficiency in Microsoft Office and Adobe Acrobat.
  • Knowledge of environmental regulations.
  • Data entry and QA/QC skills.

Preferred Education and Experience:

  • Bachelor's degree or equivalent experience.
  • At least 2 years of relevant work experience.

Work Environment and Team Interaction:

  • Remote work setting.
  • Regular daily communication with team members.
  • Support for quality assurance and compliance.

Nice-to-Have Skills:

  • Knowledge of environmental policies.
