The Administrative Assistant/Receptionist will serve as the first point of contact for visitors, clients, and employees. The role requires professionalism, personable interaction, and the ability to handle confidential information discreetly. The candidate should be organized, detail-oriented, and capable of managing various office tasks.

Essential Functions
  1. Greet all visitors in a friendly and professional manner.
  2. Answer and route incoming calls, take messages as needed.
  3. Maintain a clean and organized reception area.
  4. Sort and distribute incoming mail and packages; prepare and send outgoing mail.
  5. Maintain data entry and ensure proper filing of documents; scan and organize digital documents.
  6. Arrange catering for meetings and training sessions as needed.
  7. Assist in preparing reports, presentations, and correspondence.
  8. Provide administrative support to the Controller and other departments as assigned.
  9. Perform other duties as assigned.
Qualifications
  • Good communication and interpersonal skills.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite and accounting software.
  • Willingness to learn and follow directions from senior staff.
Work Environment
  • Office setting with extended sitting periods.
  • Occasional lifting of files or papers up to 15 pounds.
Education and Experience
  • High School Diploma, GED, or equivalent; on-the-job training may substitute educational requirements.
  • At least 1 year of experience as an administrative assistant or receptionist.
