Our client is seeking a Administrative Assistant / Project Coordinator in Coral Gables, FL.
Role Description
This position is responsible for overseeing the daily operations of the Program Management Office, ensuring efficient workflows and facilitating communications across the organizations. Key assignments include but are not limited to scheduling, meeting coordination, note taking, tracking action items, and general administrative support to help ensure smooth day-to-day operations across the program.. This role will regularly interact with both internal and external stakeholders, including executive level staff. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to adapt to a fast-pace environment while ensuring the success of the strategic vision of the organization.
• Calendar Management - manage departmental calendars, including coordination and scheduling of meetings as well as, prioritizing meeting requests to ensure business needs are met
• Meeting Support - provide administrative support for department meetings including preparing agendas, presentation development and documentation and tracking of action items
• Assist leadership in identifying, tracking and resolving administrative/high-level issues
• Provide primary admin support for meetings including tracking of action items and deliverables
• Compile reporting metrics for various stakeholders, meetings and discussions
Skills & Requirements
• 5+ years of Project Coordination / Support + Administrative Assistance experience in complex, enterprise environment(s)
• Prior experience in PMO setting or supporting PMO environment highly preferred
• Must possess proven, demonstrable experience in all of the following areas:
o Meeting Coordination
o Managing Stakeholder Calendars
o Note Taking / Meeting Minutes
o Tracking Action Items
• Excellent verbal and written communication skills required
• Candidates must have experience supporting major technology program changes within the healthcare industry. Experience with Electronic Health Records (EHR) transformation is a plus.
• Bachelor’s degree in Business Administration, Information Systems, Management Information Systems, Project Management, or Healthcare Administration preferred
