This position contributes to Starbucks’ success by providing advanced, dedicated administrative support of a confidential and complex nature to one or more executives. Handles confidential and non-routine information. Exercises independent judgment and discretion in making decisions and carries out activities following general guidelines. Demonstrates the ability to perform effectively with limited direction. Models and acts in accordance with Starbucks guiding principles.

As an administrative assistant, you will…

  1. Provide administrative support to one or more executives, proactively managing calendars with attention to detail and resource allocation to promote productivity. Reprioritize tasks as needed based on changing business initiatives.
  2. Perform general administrative activities including screening calls, composing correspondence, and managing mail.
  3. Serve as a point of contact for the business unit or department, answering questions, directing requests, and escorting visitors.
  4. Organize, host, and facilitate meetings, conferences, and department activities.
  5. Manage complex administrative projects such as budgeting, database updates, report creation, and data collection.
  6. Create dynamic charts, tables, graphs, and presentation materials, ensuring accuracy and confidentiality.
  7. Coordinate with facilities for workspace arrangements and moves.
  8. Support department hiring and onboarding activities.
  9. Schedule meetings, arrange audiovisual equipment, and take minutes as needed.
  10. Initiate and oversee special projects and process improvements, ensuring timely and within-budget completion.
  11. Arrange domestic and international travel, addressing all logistical aspects to maximize executive productivity.
  12. Engage with the executive's team to ensure alignment and open communication.
  13. Serve as a peer leader within the administrative team.
  14. Advise on and train others in the use of department products and services.
  15. Ensure compliance with company policies and procedures, providing training when appropriate.
  16. Support coffee education initiatives as part of Starbucks' core business.
  17. Maintain punctual attendance.
