Qualifications

Position Summary

Provide administrative and program support to the Materiel Fielding Team by coordinating documentation, scheduling activities, maintaining records, and supporting communications between project personnel, government stakeholders, and fielding teams. The Administrative Assistant-Junior ensures program documentation is accurate, organized, and available to support mission execution and reporting requirements. This is an onsite position in Frederick, MD.

Up to 50% annually, CONUS and OCONUS

Duties & Responsibilities

The essential and specific functions include but are not limited to the following:

  • Provide administrative support to Program Managers, Regional Managers, and fielding personnel.
  • Prepare, review, distribute, and archive correspondence, reports, meeting minutes, and fielding documentation.
  • Maintain electronic and hardcopy records in SharePoint, Teams, and other authorized repositories.
  • Track taskers, suspense dates, action items, and recurring deliverables.
  • Schedule meetings, coordinate conference calls, and maintain calendars.
  • Assist with travel coordination, voucher documentation, and logistics planning.
  • Support document quality reviews to ensure completeness and compliance with program requirements.
  • Maintain inventories of administrative supplies and coordinate office support requirements.
  • Generate routine status reports, trackers, and metrics for management review.
  • Perform data entry and maintain accurate records supporting materiel fielding operations.
Qualifications
  • High school diploma or equivalent; associate degree preferred.
  • Minimum 1-3 years of administrative support experience in a government, military, or logistics environment.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Experience with SharePoint and electronic document management systems.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and competing priorities.
  • Effective written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to work independently and as part of a team.
  • Must be a U.S. Citizen and able to obtain and maintain a security clearance.
