Job summary

Independence Excavating, Inc. is seeking an Administrative Assistant - Safety to support the safety team by organizing documentation and ensuring clear communication between departments.

The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The successful candidate will maintain accurate records, schedule safety classes, assist with data collection and reporting for leadership, and support the Director of Safety

Qualifications

  • High school diploma or equivalent; associates degree preferred.
  • 2+ years of administrative experience, preferably in construction or related industries.
  • Basic understanding of construction terminology is a plus.
  • Strong organizational and communication skills; ability to manage multiple tasks.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Detail-oriented and able to maintain accurate records; able to work independently and in a team.

Responsibilities

  • Maintain accurate records by tracking injury logs, safety audits and employee certifications.
  • Assist in scheduling safety classes, drug testing, meetings, and tracking attendance.
  • Help collect data, organize, and assist in preparing reports for leadership team.
  • Communicate with new and current employees, answer safety questions and pass messages between workers and safety managers.
  • Organize safety manuals and prepare files for safety management.
