Job summary

DESCRIPTION OF JOB:
ABOUT CAMPUS OPERATIONS AND CONSTRUCTION:

Campus Operations is responsible for the creation and maintenance of on-campus environments that foster academic and research excellence. Our team provides information and assistance with the key shop, building maintenance work orders, environmental services, groundskeeping, van rentals and driver certification classes.

JOB DUTIES:
Completes purchasing and accounting for the Campus Operations/Facilities department:

Analyzes purchase requests to determine the type of acquisition and the accuracy of information provided; Receives quotes and estimates from vendors; Requests estimates and bids for services; Issues requisitions for purchases, or purchases directly with a university procurement card, and reconciles all purchases; Updates budget monthly for facilities operating, capital equipment, travel, safety, and student work-study costs

Provides general administrative, office, and clerical support
Operate the Campus Operations/Facilities service center:

Clarifies and interprets work requests to assign tasks appropriately; Resolves facility complaints or problems experienced by other campus departments; Determines whether a work request is routine, priority, or emergency and routes emergencies immediately to appropriate contact; Explains facilities projects, maintenance, outages, or emergency situations to the campus community; Coordinates schedules with subcontractors and/or campus departments for facility-related projects.

Providessupport with statecapital and controlled maintenance projects, including communications, requests for proposals, and contract management;

Issues reports to the OSA (Office of the State Architect) as needed

Conducts Facilities inventory on a regular basis
Reevaluates office and operational procedures to simplify and automate tasks for greater efficiency.
Develops preventative maintenance schedules for equipment and buildings utilizing the campus work request system.
MINIMUM QUALIFICATIONS:
  • Experience Only: Three (3) years of relevant experience in an occupation related to the work assigned to this position.

  • Education and Experience: A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years.

PREFERRED QUALIFICATIONS:

Demonstrated competence with Microsoft Excel, Microsoft Word, and other office productivity software

Experience with purchasing, receiving, inventory, and expense management

Experience using centralized IT systems to manage budgets, purchasing, and expenses (e.g., Workday, etc.)

Experience with accounting, budget, and contract management

Strong organizational skills

Relevant experience must be clearly documented on the application. Part-time work will be prorated.
