Working Title: ADMINISTRATIVE ASSISTANT III - 64005390

This is a highly responsible position assisting office level management with the coordination of administrative tasks and assignments of a complex nature serving as the executive assistant for the Director of the Division of Public Health Statistics and Performance Management. The position works independently and in teams to support division initiatives. This is an in-office position only.

General Administrative support: Daily responsibilities include but are not limited to providing direct administrative assistance for the Director, assisting with travel arrangements, correspondence and document preparation and/or tracking of documents in CorrFlow and workflow, answering phones, maintaining supply inventory, and assisting with approving purchasing card transactions as required.

Will provide travel and logistical support including but not limited to, processing approved travel vouchers, collecting, processing reimbursements and providing customer support to external members entitled to reimbursement for per diem and travel expenses pursuant s.112.061 of the Health Care Innovation Council and the Cancer Connect Collaborative Council who are required to meet quarterly. Provides backup administrative support for council meetings.

Responsible for scheduling direct report meetings, appointments, and events for the Division Director and the Director’s Office. Prepares agendas and supporting documentation for Management Team Meetings.

Coordinates and integrates responses to assignments from the Director’s Office and division bureaus. Prepares a coordinated response for the signature of the Director within required time frames. Serves as the Division Correspondence Liaison for the Executive Staff Office. Maintains and tracks assignments from the Executive Staff Office, SharePoint Page, and other sources of correspondence/assignments.

Purchasing: Facilitates the procurement of general office goods and services, and execution of purchasing using MFMP and/or state purchasing card; monitoring status of purchases and receipt of goods; and reviewing and submitting invoices for payment if applicable.

Other related duties as assigned.

Required Knowledge, Skills, and Abilities:
  • Knowledge of administrative principles and practices. Knowledge of office procedures and practices.
  • Knowledge of Microsoft Office software and environment. Knowledge of the methods of data collection and reporting.
  • Ability to work independently.
  • Ability to understand and apply applicable rules, regulations, policies, and procedures relating to division core program functions.
  • Ability to prepare reports for management review. Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
Qualifications:
  • Minimum: A high-school diploma with a minimum of 3 years-experience in a professional office setting, general administrative support, procurement of general office goods, and working in a Microsoft Office software environment, with 2 years of minimum experience working in a state office.
  • Preferred: A high-school or college degree with a minimum of 5 years-experience in a professional office setting, general administrative support, procurement of general office goods, and working in a Microsoft Office software environment, with 3 years of minimum experience working in a state office.
