POSITION SUMMARY: The Administrative Assistant III performs advanced administrative, operational, financial, and highly confidential support functions for a department director or administrator(s). This position is responsible for coordinating complex office operations, managing specialized administrative processes, and acting as a primary liaison for internal and external stakeholders. Due to the sensitive nature of the department’s work, this role requires exceptional discretion and independent judgment, particularly when handling court documentation, school board discipline packets, and departmental financials.

ESSENTIAL FUNCTIONS
  • Serve as the division's designated backup Disciplinary Hearing Officer (DHO) and conduct disciplinary hearings in accordance with School Board policy, the Virginia Code, and applicable due process requirements.
  • Review disciplinary referrals, student records, witness statements, and other relevant documentation in preparation for hearings and appeals.
  • Conduct impartial hearings involving long-term suspensions, expulsions, and other disciplinary matters as assigned.
  • Serve as the facilitator for School Board Discipline Committee hearings when assigned.
  • Conduct on-the-record suspension reviews and prepare written decisions in accordance with applicable laws, regulations, and School Board policies.
  • Communicate effectively with students, parents/guardians, school administrators, attorneys, and other stakeholders regarding disciplinary and procedural matters.
  • Maintain accurate and confidential records related to disciplinary hearings, suspension reviews, and Title IX proceedings.
  • Serve as a trained Title IX Decision-Maker, reviewing investigative reports and evidence and issuing impartial written determinations in accordance with federal regulations and School Board policy.
  • Serve as a designated backup Title IX Coordinator when primary coordinators are unavailable, including receiving reports, coordinating responses, implementing supportive measures, and ensuring compliance with Title IX requirements.
  • Collaborate with school administrators and Student Services personnel to ensure consistent implementation of discipline procedures, due process protections, and Title IX regulations.
  • Interpret and apply federal and state laws, regulations, School Board policies, and administrative procedures related to student discipline and Title IX matters.
  • Participate in required training related to student discipline, due process, Title IX, and other assigned responsibilities.
  • Exercise independent judgment while maintaining objectivity, neutrality, and confidentiality in all assigned matters.
  • Attend meetings, hearings, and training sessions as required, including occasional evening meetings associated with School Board Discipline Committee proceedings.
  • Perform other duties related to student discipline, due process, Title IX compliance, and Student Services operations as assigned

EDUCATION AND EXPERIENCE
  • Required: Associate Degree or equivalent.
  • Preferred: Bachelor’s Degree.
  • Experience: 3–4 years of advanced office management, bookkeeping, clerical, or human resources experience.
  • Systems Experience: Prior experience using LINQ or a similar financial management system is highly preferred.

  • Ability to handle highly sensitive, confidential, and legal information (e.g., court records, discipline files) with the utmost discretion and integrity.
  • Advanced proficiency in Microsoft Office, Google Workspace, and division-specific databases (i.e. Infinite Campus), with a strong ability to manage complex departmental spreadsheets.
  • Solid understanding of accurate record-keeping, time management, and project management.
  • Ability to lead, manage, and oversee departmental projects and initiatives independently.

  • The position may require occasional travel within the school division to attend meetings, provide support to schools, and perform other assigned duties.
