Summary

Under minimal supervision, provides administrative support to a department or group of professionals. Responsibilities are non-routine and require independent judgment. Makes decisions within established guidelines for planning, organizing, and scheduling. Handles confidential information and maintains knowledge of departmental policies. Reports to department managers, directors, or executives.

Essential Functions
  • Acts as administrative liaison regarding purchasing, personnel, facilities, and operations, with regular contact both inside and outside the department.
  • Coordinates administrative processes such as supplies, filing systems, and confidential records. May create and maintain databases or spreadsheets.
  • Processes invoices, reconciles accounts, and manages event budgets.
  • Manages calendars, schedules, and meeting arrangements for staff.
  • Prepares complex reports, manuals, and presentations using various software, analyzing data trends from multiple sources.
  • Researches, compiles, and analyzes data, often confidential, within established parameters, and reports findings.
  • Screens mail and calls, prioritizing urgent documents.
  • Drafts, edits, and formats routine correspondence and departmental documents.
  • Serves as a resource to staff and may assist in hiring and training new employees.
  • In clinical settings, may handle patient inquiries and escalate complex issues.
  • Attends events and meetings as a recorder, coordinating follow-up actions.
  • Performs all duties in compliance with applicable policies and laws.
Minimum Requirements
  • Associate's degree or equivalent experience.
  • At least 3 years of administrative experience, preferably in healthcare, with strong communication skills.
  • Proficiency in word processing, spreadsheets, and databases; pharmacy or healthcare office experience preferred.
Working Conditions
  • Busy office environment with deadlines and interruptions.
  • Ability to work remotely and in-office.
