Summary

Under minimal supervision, provides administrative support to a department or group of professionals. Responsibilities are non-routine, requiring independent judgment and discretion. Makes decisions within established guidelines for planning, organizing, and scheduling work. Handles confidential information and maintains thorough knowledge of departmental policies and procedures. Reports frequently to department managers, directors, or executives.

Essential Functions
  • Acts as administrative liaison regarding issues like purchasing, personnel, facilities, and operations, with regular contact inside and outside the department.
  • Coordinates administrative processes such as maintaining supplies, filing systems, and processing confidential records. May create and manage departmental databases or spreadsheets.
  • Arranges payments for invoices, reconciles accounts, and controls event budgets.
  • Manages calendars, schedules, and meeting arrangements for staff.
  • Prepares complex reports, manuals, and presentations using various software; analyzes trends from multiple sources.
  • Researches, compiles, and analyzes data, often confidential, working within set parameters and reporting findings to supervisors.
  • Screens mail and calls, prioritizing urgent documents.
  • Drafts, edits, and formats routine correspondence; prepares reports, agendas, and minutes.
  • Serves as a resource to junior staff; may assist in hiring and training.
  • In clinical settings, may handle patient inquiries and escalate complex issues.
  • Attends meetings and coordinates follow-up actions.
  • Performs all duties in compliance with applicable policies and laws.
Minimum Requirements
  • Associate's degree or equivalent experience.
  • At least 3 years of experience as an administrative assistant, preferably in healthcare, with strong communication, interpersonal, and organizational skills. Knowledge of word processing, spreadsheets, and databases required. Pharmacy or healthcare office experience is preferred.
Working Conditions
  • Busy office environment with deadlines and interruptions.
  • Ability to work remotely and in-office.
