The Professional Development Program (PDP) of the University at Albany's Rockefeller College seeks a service-minded individual who is committed to performing high-quality work to fill an Administrative Assistant II position located in Albany, NY.

Description of Duties:

The Administrative Assistant II assists with day-to-day functions related to workforce training programs. Duties include, but are not limited to:
  • Enter and process class offerings in the learning management system; maintain registrations and attendance data and assist with project reporting.
  • Arrange travel and process reimbursements for staff and program training participants.
  • Obtain quotes and process purchase requisitions for supplies, equipment, venues, print orders, and other project related needs.
  • Assist with preparation of training materials; facilitate material distribution including shipping to training sites and other locations as needed.
  • Answer phones, respond to inquiries, and assist training participants.
  • Other duties as assigned to meet project deliverables.


Job Requirements:

Minimum Qualifications :
  • High school diploma and 4 years of office experience, 2 years of which must be general administrative support experience in an office setting OR an Associate degree or higher from a college or university accredited by a USDOE, or an internationally recognized accrediting organization and 2 years of general administrative support experience in an office setting.
  • Experience providing customer service.
  • Excellent communication skills (interpersonal, written and verbal).
  • Strong organizational skills.
  • Experience with Microsoft Office (Outlook, Word, PowerPoint, Access, Excel, and SharePoint) and the ability to format documents of a complex nature.
  • Ability to manage, prioritize and complete numerous tasks within established deadlines, with strong attention to detail.
  • Ability to work independently and also as part of a team.
  • Ability to sit for several hours and lift/carry up to 20 lbs.
  • Ability to occasionally travel on project business to NYS locations, including to areas not served by public transportation.

Preferred Qualifications
  • Bilingual - English/Spanish.
  • Experience processing supply orders and purchase requisitions.

Additional Information:

Salary Range : $40,000 - $42,168
