- Provide diversified assistance to the Director of Career Institutes and oversee the day-to-day operations of the Career Institutes Office.
- Coordinate the daily functions of the department to meet its objectives and district goals.
- Maintain budget records for the department and oversee all budget transactions to ensure timely processing of expenditures.
- Organize and maintain routine office work, including making arrangements for appointments, conferences, interviews, and travel.
- Perform administrative duties such as maintaining the department's filing system, processing routine correspondence, managing supplies, and handling expenditures related to the Career Institute.
- Process a variety of department-related documents and district forms accurately and timely, acquiring signatures from Legal, Purchasing, and upper management for documents processed through the Teaching and Learning Division.
- Ensure timely communication with department staff regarding policies, procedures, and practices.
- Handle routine correspondence, including approval documents, meeting agendas, and information packets.
- Provide general information to employees, parents, and the public.
- Provide regular updates to the Director on the status of projects and issues.
- Prepare correspondence, forms, and reports using personal and computer software.
- Maintain physical and electronic departmental files.
- Prepare and process purchase orders, payment authorizations, procurement documents, and Oracle requisitions.
- Answer incoming calls, take messages, and route calls to appropriate staff.
- Perform other duties as assigned.
Qualifications
- High School Diploma or equivalent, with two years of technical education or an Associate's Degree.
- Five years of related experience preferred.
- Advanced typing skills of 60 WPM.
- Mastery of Oracle functions such as payroll, budget, and requisitions; ability to work independently.
- Ability to maintain a welcoming office environment and diffuse conflicts or hostile attitudes.
- Effective verbal and written communication skills; proficient in the use of office equipment.
- Strong organizational, interpersonal, and customer service skills.
- Proficiency in keyboarding, word processing, spreadsheets, and file management; knowledge of district operations and policies.
