Qualifications
  • License and Certification: None required.
  • Education: High school diploma or equivalent required; Bachelor's degree in a related field preferred.
  • Experience: Three years of secretarial/administrative or equivalent acceptable experience.
  • Skills: Excellent oral and written communication; strong organization and problem-solving skills; proficiency with Microsoft Office, Lotus Notes, and PeopleSoft; typing, word processing, spreadsheets, graphics; report and correspondence drafting; error detection in English; multitasking; customer service; meeting minutes; confidentiality; process improvement; organizational representation; cross-functional interaction.
Primary Responsibilities
  • Provide administrative support to the Executive Director of Infrastructure and Operations.
  • Perform general clerical duties, manage calendars, arrange meetings, and follow up on correspondence.
  • Maintain office files, utilize software for document creation, and manage procurement processes.
  • Assist with budget preparation, maintain hardware/software databases, and coordinate onboarding of contractors.
  • Handle financial records, monitor budgets, and ensure timely payments.
  • Communicate professionally with internal and external contacts, handle correspondence, and represent the division appropriately.
Physical Demands

Frequently sit, talk, hear, stand, walk; use hands for handling; occasionally stoop, kneel, crouch; lift/move up to 25 pounds; specific vision abilities required.
