Job summary

Washington University in St. Louis is seeking an organized Administrative Assistant to provide secretarial and administrative support for a department and multiple faculty members.

You will manage calendars, schedule meetings (in person or virtual), arrange travel and reimbursements, maintain files, respond to inquiries, and assist with forms and communications as needed.

Qualifications

  • High school diploma or equivalent required.
  • Administrative/office experience preferred.
  • Strong computer skills and attention to detail expected.

Job Description
Primary Duties & Responsibilities
  • Provides administrative assistance to multiple faculty members.
  • Maintains faculty calendars, schedules meetings both in person and virtual. Assists with conference registration, travel arrangements and expense reimbursements according to guidelines.
  • Maintains physician curriculum vitae and Missouri/Illinois licensure.
  • Assists with physician re-credentialing of hospital privileges every two years.
  • Prepare correspondence as needed. Assists physician in completing forms, scans and faxes documents, prepares copies as needed, maintains files (electronic and hard).
  • Responds to EPIC tasks as needed.
  • Answers phone and greet visitors; responds to inquiries and provides information using established guidelines or refers to appropriate individual.
  • Receives, sorts and distributes mail.
  • Performs other duties as assigned.

  • Normal office environment.
  • Ability to travel to various on- and off-campus locations.

  • Typically working at desk or table.
  • Repetitive wrist, hand or finger movement.

Salary Range

$17.87 - $27.06 / Hourly
