General Definition of Work

The administrative assistant I, under close supervision, performs clerical work with minimal decision-making discretion, providing administrative support to the assigned administrator and conducting day-to-day office administration. This role involves a variety of office, administrative, and support duties to implement Board of Education policies and procedures under the administrator's guidance.

Salary/Status

Pay Grade NC 08 / Full-time, 10 or 12 months

Reports To

Assigned Administrator

Place of Work

The normal place of work is at Charlotte-Mecklenburg Schools premises. The district may require work at other locations as needed.

Essential Functions
  • Adhere to all applicable laws, policies, and procedures
  • Assist the administrator or department/school
  • Coordinate programs and projects supporting department/school activities
  • Maintain calendars and schedule meetings
  • Prepare agendas, reports, correspondence, and memorandums
  • Respond to inquiries and route calls professionally and confidentially
  • Support stakeholders via in person, phone, and email communication
  • Manage incoming mail
  • Monitor expenditures and prepare related documentation
  • Maintain inventory of supplies, technology, and furniture
  • Update records, files, and forms
  • Complete surveys and reports accurately and timely
  • Participate in professional development
  • Create an inclusive environment with positive communication
  • Perform other duties as required

  • Knowledge of public school principles and practices
  • Recordkeeping and maintenance knowledge
  • Understanding of district policies and procedures
  • Knowledge of accounts payable and basic accounting

Education and Experience
  • High School diploma or equivalent required
  • Clerical or administrative experience preferred
  • Combination of education and experience acceptable

  • Valid Driver’s License or transportation ability
  • Willingness to travel to district locations and meetings
Physical Requirements/Working Conditions
  • Occasional exertion up to ten pounds
  • Regular communication and computer work
  • Ability to remain stationary and move between locations
  • Visual and hearing acuity for data analysis and communication
  • Exposure to outdoor weather conditions occasionally
  • Work in a moderately noisy environment
  • Ability to handle interpersonal interactions and stress
