Location: Hybrid, candidates may work remotely, with occasional in-person local travel in the Erie, CO area required

Paleovalley is a modern health-conscious snack and supplement company. We are committed to making delicious, high-quality products that do not cut corners. We source from certified organic farmers using regenerative agricultural practices. Our goal is to support our customers with better alternatives to the health-damaging junk foods and synthetic supplements lining the grocery store shelves.

Wild Pastures, our sister company, is on a mission to transform the meat industry. We deliver 100% grass fed, pasture-raised, environmentally-regenerative beef, chicken and pork and sustainably caught, wild seafood directly to our customers’ doors. We have incredibly high standards for our meat – all being raised in the USA by small-scale family farmers on lush pastures free from human-caused chemicals.

The Opportunity

We are seeking a detail-oriented and proactive Remote Administrative Assistant to provide administrative and organizational support to our quality and operations team (roughly 60% Quality, 30% Operations, 10% Finance). The ideal candidate will be highly organized, tech-savvy, and able to work independently in a fast-paced virtual environment. This role involves record keeping, handling correspondence, supporting team communications, and performing various administrative tasks to ensure smooth operations.

While most of the work can be performed remotely, this role includes occasional in-person tasks in the Erie, CO area, such as picking up mail at a designated post office.

Essential Functions

  • Respond to emails and other communications on behalf of the team
  • Prepare and edit documents, presentations, and reports
  • Maintain and organize digital files and records
  • Support project coordination and task tracking
  • Assist with data entry, database updates, and CRM management
  • Coordinate travel arrangements and expense reporting
  • Perform online research and compile information as needed
  • Assist in onboarding new team members and updating internal documentation
  • Pick up mail at the post office on a regular basis
  • Scan documents and distribute mail to appropriate parties
  • Handle other administrative duties as assigned
  • Proven experience as a virtual assistant or administrative support role
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite, Google Workspace, and other productivity tools
  • Familiarity with project management and communication tools (e.g., Slack, Monday.com)
  • Ability to handle confidential information with discretion
  • Self-motivated, detail-oriented, and capable of working independently
  • Reliable transportation and ability to travel locally to the post office as needed

Required Education and Experience

  • High school diploma or equivalent.
  • Minimum three years of experience working in a remote team environment in a similar role providing administrative assistance or virtual assistant work.
  • Basic knowledge of office functions, including bookkeeping or HR practices.
  • Familiarity with CRM software and online collaboration tools.
  • Valid driver's license and must have the ability to travel in the local area (Erie, CO).

Preferred Education & Experience

  • Bachelor's degree from a regionally accredited institution in Business Administration or related field preferred.
  • Experience coordinating projects and organizing electronic files is preferred.
  • Active Notary license, or the willingness and ability to obtain license, is strongly preferred.
  • Startup experience preferred.

Work Environment and Physical Demands

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies that weigh up to 20 pounds, and to bend and stand as necessary.

Position Type/Expected Hours of Work
This is a full-time position during regular business hours (for example, Monday through Friday, from 8:00 a.m. to 5:00 p.m.) Occasional evening and weekend work may be required as job duties demand.

Travel

Local travel required in the Erie, CO area. Candidates must possess the ability to travel in the area for in-person errands, as needed.

Work Authorization/Security Clearance (if applicable)

The employee must be authorized to work in the United States for ANY employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time. The employee must possess a valid driver’s license.
