Job summary

Allianz Life in Minneapolis is seeking an Administrative Assistant to provide high-level support to the CIO and 2–4 executives. You will manage calendars, arrange travel, prepare correspondence, and help coordinate department initiatives with a customer-service mindset.

This role requires 2–3 years of admin experience, a high school diploma, strong written and verbal communication, and legal authorization to work in the U.S.

What You Do

The Administrative Assistant is responsible for providing administrative support to the department management and staff to help fulfill the division’s strategic initiatives for the enterprise. This individual operates with a customer service mindset while partnering with multiple levels of the organization. They have a demonstrated ability to effortlessly adapt to change and display grace and confidence under pressure. You will support 2-4 executives and will report to the CIO.

  • Ensure leader’s time is aligned with their priorities through demonstrated understanding of the core business and by leveraging strategic prioritization strategies. This includes maintaining calendars, scheduling appointments and meetings, and coordinating travel arrangements and accommodations.
  • Draft and edit correspondence, reports, and other documents to ensure efficient communication within the department and with internal business partners.
  • Manage and organize files, records, and documents including processing and tracking expenses and invoices, which may include handling confidential information, displaying professional discretion and trust with leadership.
  • Support department meetings, events and special projects as needed, including order catering and supplies, compiling presentations, creating learning links and surveys.
  • Support space planning for new hires or department moves.
  • Utilization of artificial intelligence tools and resources (e.g. generative AI).

What You Bring
  • 2-3 years of experience required
  • High school diploma required
  • Strong collaboration and communication skills, both written and verbal
  • You must be legally authorized to work in the U.S. without requiring immigration sponsorship now or in the future. This includes holders of H-1B, H4, L-1, L-2, TN, OPT, CPT, and other nonimmigrant visas.

Job posting range $41,000 - $61,000

Note the job posting range is exclusive of company benefits or other compensation. This role is also eligible for an annual incentive program. If you are hired, your final base salary will be determined based on factors such as geographic location, experience, skills, competencies, and/or education. In addition to those factors, we will also consider internal equity of our current employees. Please keep in mind that the range provided is the full base salary range for the role. Hiring at or near the maximum of the range would not be typical to allow for future and continued salary growth.
