Catholic Charities Brooklyn and Queens has been providing social services for over 125 years, offering more than 160 programs for various community members including children, youth, adults, seniors, and individuals with mental illness.

Our Older Adult Centers promote active lifestyles among seniors by offering activities such as meals, health screenings, social and educational programs, art classes, outings, and events.

Statement of the Job

The Administrative Assistant manages clerical, administrative, and bookkeeping tasks for Older Adult Services, ensuring compliance with agency and funding regulations while fostering a welcoming environment for older adults and visitors.

  1. Perform clerical duties including data entry, filing, answering phones, and mail distribution.
  2. Maintain organized files and records according to regulations, including staff timesheets.
  3. Manage financial records, including expenses and contributions, maintaining accurate ledgers.
  4. Handle billing, process check requests, liaise with vendors, and manage petty cash.
  5. Oversee inventory of office and program supplies.
  6. Prepare and submit financial and statistical reports as required.
Qualifications
  • High School Diploma or GED, with coursework in business math and bookkeeping.
  • Proficiency in computer applications, including Microsoft Excel and Office.
  • Excellent organizational, time management, and interpersonal skills.
  • Knowledge of bookkeeping.
  • Bilingual skills preferred.
  • Ability to travel to client homes, meetings, and training locations.
  • Ability to lift up to 10 lbs.
