Job summary

You will coordinate events, assist on special projects, and provide daily travel and administrative support, working with senior leaders across the organization.

Qualifications

  • Bachelor’s degree required.
  • Minimum of 3 years in a support role.
  • Expertise with Microsoft Office (Outlook, Word, Excel) and SharePoint.
  • Experience with travel and expense systems, SAP Concur preferred.
  • Strong interpersonal and diplomacy skills with senior leadership.

Responsibilities

  • Manage and maintain calendars, including scheduling meetings and prioritizing demands.
  • Plan and execute team events and conferences.
  • Plan team dinners when visiting other offices.
  • Anticipate leader needs and improve organization and efficiency.
  • Travel management and trip planning through the travel system.
  • Prepare, validate and manage expense reports.
  • Other tasks/projects as needed.

Our FICCO team is currently seeking an Administrative Trading Assistant to join their group supporting a few organizational leaders. This person will coordinate special events for the department, assist as needed on special projects, and provide daily travel and administrative support.

Responsibilities:
  • Manage and maintain calendars, including scheduling meetings, coordinating appointments, and prioritizing competing demands
  • Plan and execute team events such as social interactions and industry conferences
  • Plan Team dinners if team members are visiting from other offices
  • Anticipate department leader needs and proactively identify opportunities to improve organization, efficiency, and effectiveness
  • Travel management and trip planning through travel system
  • Prepare, validate and manage expense reports
  • Other tasks/projects as needed

Requirements:
  • Bachelor’s Degree
  • Minimum of 3 years of experience in a support function
  • Expertise in Microsoft products including Outlook, Word, Excel, and SharePoint required.
  • Previous experience leveraging travel and expense systems, SAP Concur preferred.
  • Strong interpersonal and diplomacy skills with a high comfort level in dealing with senior management, directors and individuals at all levels, including external vendors.
  • Demonstrated ability to communicate ideas orally and in writing. Strong writing and editing skills.
  • Exceptionally strong organizational skills with a demonstrated ability to deliver results in a fast-paced environment.
  • Ability to set priorities, handle multiple tasks, and meet deadlines.
  • Flexible and adaptable to rapidly changing priorities
  • Ability to work independently, multi-task, be proactive and initiate action confidently with minimal supervision.
  • Ability to manage work and projects with a high level of accuracy and attention to detail.
  • High level of professionalism, good judgment and discretion in dealing with confidential situations.
  • Analytical, research, problem solving, decision-making and conflict resolution skills.
  • Tech-savvy, comfortable dealing with technology issues and proactive in finding ways to improve efficiency with available tools and resources
  • Work as a team with other Administrative & Executive Assistants
  • Provide back-up as necessary for team members

The annual base salary range for this position is $70,000 to $90,000 depending on the candidate’s experience, qualifications, and relevant skill set. The position is also eligible for an annual discretionary bonus.
