Administrative Assistant/Facilities Coordinator opportunity for an organized professional to lead office administration, facilities coordination, customer service, and workplace operations within an employee-owned company.

THE ROLE

We're looking for a proactive, organized, and service-minded professional who enjoys being the person others can count on. In this role, you'll support daily operations through a blend of administrative, facilities, and fleet coordination responsibilities. No two days are exactly alike, and success comes from being adaptable, taking initiative, and responding quickly to changing priorities. You'll help create a welcoming and efficient workplace while building strong relationships with employee-owners, clients, and vendors. The ideal candidate is positive, resourceful, detail-oriented, enjoys variety in their work, and takes pride in helping others succeed. These responsibilities include:

  • Support daily office operations using Microsoft Office applications and Microsoft Dynamics CRM.
  • Maintain project information, client records, and administrative documentation.
  • Coordinate company vehicle maintenance, building services, repairs, and vendor relationships.
  • Serve as the primary front desk contact, welcoming visitors and providing exceptional service to employee-owners, clients, and vendors.
  • Order office supplies and equipment, process invoices, and support general office administration.
  • Coordinate meetings, events, mail distribution, and special projects.
  • Maintain professional common areas and support a safe, organized workplace environment.
  • Assist with print room operations, including copying, binding, and equipment troubleshooting.

YOUR STRENGTHS
  • 5+ years of office administration, facilities coordination, or similar experience preferred
  • Administrative support experience within an engineering, architecture, consulting, or other professional services firm preferred
  • Associate degree in business, administration, or related field preferred
  • Proficiency with Microsoft Office applications and experience with Microsoft Dynamics CRM or similar business software preferred.
  • Experience with facilities management and general administrative processes
  • Valid driver's license with an insurable driving record required
  • Ability to perform moderate physical work, including lifting/carrying up to 50 pounds
  • Available to occasionally respond to facility or building-related issues outside of normal business hours when needed.
  • Enjoy a fast-paced environment where priorities can shift throughout the day.
