What role you will play in our team

• The Administrative Assistant is responsible for the direct administrative support for site management and/or work groups.
• The role encompasses data entry, classification, and reporting as well as base office support functions at the facility.
• The Administrative Assistant role works a normal 8 hour schedule with opportunity for limited overtime based on business needs.

What you will do

• Data collection, input, and quality control
• Generate weekly and monthly data stewardship reports
• Manage action tracking work processes and databases
• Provide word processing, spreadsheet, and presentations support
• Generate and manage e-requests for workgroup for hardware and software requests
• Manage daily mail and distribution
• Manage/prepare org charts, flowcharts, group contact information
• Prepare presentations as needed
• Manage Website interface of documents
• Organize logistics for internal and external meetings
• Schedule meetings, arrange conference rooms, order meals
• File, scan, and copy documents
• Handle file management for the department
• Coordinate office moves
• Process invoices and expense accounts for group employees
• Order office supplies and materials
• Reconcile invoices to procurement card

About You

Skills and Qualifications

• Associates degree or higher preferred
• Prior relevant experience in an administrative role
• Willingness to work overtime or flexible schedule as needed

Preferred Qualifications / Experience

• Familiarity with Microsoft Office tools, especially Excel, Access, SharePoint, and PowerPoint
• Must be well-organized and able to multitask, prioritize, and utilize initiative
• Ability to work with multiple levels of the organization in a professional manner
