Qualifications:
A. Strong skills in the areas of organization, oral, grammatical and written communications, and attention to detail.
B. Preferred knowledge of Special Education in schools.
C. Ability to complete responsibilities in a timely manner with minimal supervision.
D. Articulate communicator with strong interpersonal skills in working with colleagues and parents.
E. Must be proficient in keyboarding and in the use of a personal computer, data management, spreadsheet development and management, photocopier, fax, telephone system and other general office equipment.
F. Proficient in Google Docs, Google Calendar, Microsoft Word, Excel and Frontline.
G. Handles confidential information discreetly and professionally.
Direct Supervisor:Assistant Superintendent of Educational Services and Assistant Superintendent of Innovation and Technology
Overview: The Administrative Assistant for the Educational Services and Innovation/Technology Department is mainly involved with supporting the Assistant Superintendent of Educational Services and the Assistant Superintendent of Innovation and Technology, Nursing, Safety and Security, and Medicaid departments. This involves processing, monitoring, tracking and generating reports reflecting the implementation of procedures needed to support those departments.
Performance Responsibilities:
1.Support the Assistant Superintendent(s) with the planning, initiation and completion of administrative activities related to the efficient operation of district wide educational, innovative, and technological services.
2. Student Data Management;
a. Process all educational action requests from member districts;
b. Enter all requests and complete monthly reports; .
c. Process releases for student information
3. Maintain student files and related information;
a. Maintain file for Emergency forms;
b. Notify appropriate personnel and parents of required documents for destruction of records; .
i. Prepare record destruction letters for parents;
c. Provide customer service to agencies, parents, district personnel and SEDOL staff;
4. Coordinate and maintain records for department grants, donated funds, workshops, and resource fairs;
5. Coordinate the School-Based Medicaid Reimbursement Program;
a. Review provider service logs and documentation to ensure accuracy and compliance;
b. Maintain and update Medicaid provider records, credentials, and service logs;
c. Train staff on Medicaid documentation requirements and data entry processes;
d. Monitor reimbursement trends and address claim denials or issues with appropriate follow-up;
e. Prepare reports on Medicaid revenue and participation for district leadership
6. Entering orders into SEDOL's purchasing system for review and approval by the the appropriate department head;
7. Running reports as requested to assist the with managing the respective department budgets;
8. Managing SEDOL's Assistive Technology (AT) Loan Library and working with the AT Facilitators to order replacement equipment;
9. Collecting mileage reimbursement form AT Facilitators for review by the Assistant Superintendent of Innovation and Technology;
10. Assisting with scheduling and preparing for various meetings that are facilitated by the department heads;
11. Red Rover timesheet approvals;
12. Maintain regular daily attendance
13. Other duties as assigned by the Director of Special Services.
Salary: salary range $21.15 - $27.07 per hour, dependent on years of expierence
