JOB SUMMARY:

The Administrative Assistant supports the day-to-day activities of the Vice President and Senior Director of Corporate Communications while also assisting with overall operation of the Corporate Communications team. This includes executive support, team coordination and administrative duties that ensure smooth and efficient office operations.

MAJOR RESPONSIBILITIES:
  • Manages the day-to-day activities of the Vice President and Senior Director of Corporate Communications including calendars/scheduling, preparation for meetings, travel arrangements, expense reports, fielding incoming calls and other responsibilities as requested.
  • Assist with day-to-day activities for the Corporate Communications team including managing group vacation and coverage calendars, supporting onboarding for new team members, assisting with department-wide meetings and events and maintaining team lists.
  • Serve as Office Ambassador (OA) by managing administrative setup to provide team members with the tools, resources and information needed to be productive including: entering IT service tickets (including badge access), ordering and maintaining office supplies and coordinating with Parks Technology.
  • Oversees timely processing of legal contracts, scopes of work, etc. in close partnership with the legal department.
  • Coordinates all purchasing requests, processes invoices and other relevant tasks relating to the Corporate Communications purchasing process.
  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.
EDUCATION:

Associate Degree preferred.

EXPERIENCE:

1-3 Years: of related experience in a fast-paced environment.
