We are seeking a highly motivated Administrative Assistant to support the office of PD JS (and all subordinate offices) at Picatinny, NJ, pending contract award.

Responsibilities

  1. Provide administrative support and serve as the focal point to ensure consistent administrative functions within PD JS.
  2. Format documents such as memorandums and correspondences according to DoD, DA, and local policies.
  3. Schedule activities, maintain calendars, and coordinate conference rooms, including setting up teleconferences, VTCs, and web conferences for PD JS, PdD Demil, and Program Office personnel.
  4. Serve as the first point of contact for visitors and screen phone calls for senior staff.
  5. Log, track, and ensure documents are drafted correctly for approval.
  6. Make travel arrangements, prepare travel orders, and vouchers for PD JS Government personnel.
  7. Assist PdD Demil and PD JS Program Office personnel with personnel accountability.
  8. Consolidate input and prepare draft weekly reports on significant activities for PdD Demil to be submitted to the PD JS Operations Officer.
  9. Attend and prepare minutes for weekly PD JS and PdD Demil staff meetings and teleconferences.
  10. Support the Operations Officer in planning, supporting ceremonies, and organizing special events.
  11. Prepare and manage leave requests, training requests, travel claims, visitor passes, and other forms and correspondences.
  12. Maintain travel records in compliance with PD JS travel policies.
  13. Review timesheets to ensure correct use of Work Breakdown Structure (WBS) numbers.
  14. Maintain office documentation and files, including PD JS and PdD Demil acronyms and the PdD Demil Enterprise Roster.
  15. Track and submit daily accountability and TDY status reports for PD JS and PdD Demil.

Required Qualifications & Experience

  1. Bachelor's Degree in a related field (additional 4+ years of experience may substitute).
  2. Completion of Defense Travel System (DTS) and travel card training, with certifications of completion.
  3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  4. Strong organizational and multitasking skills with exceptional attention to detail.
  5. Excellent written and verbal communication skills.
  6. Ability to handle sensitive information discreetly and maintain confidentiality.
  7. Customer service mindset with proactive problem-solving skills.
