Description:

The mission of the Kentucky Board of Pharmacy is to promote, preserve, and protect the public health, safety, and welfare through effective regulation of the practice of pharmacy; the licensure of pharmacists; the licensure, control, and regulation of all sites or persons who are required to obtain a license or permit from the Board of Pharmacy that distribute, manufacture, or sell drugs within the Commonwealth.

We are looking for an Administrative Assistant- Boards and Commissions to join our team of highly skilled professionals. As an Administrative Assistant- Boards and Commissions, you will be responsible for administrative functions of the Board including serving as meeting coordinator, fiscal manager, and HR administrator, performing other duties as assigned.

Responsibilities include, but are not limited to:

  • Serves as meeting coordinator for Board and Committee meetings including polling members for meeting dates, gathering and distributing all meeting materials, and recording all meeting minutes and video/audio recordings.
  • Serves as primary contact for Board members/committee members regarding pay, travel documentation and reimbursement, and general scheduling/administrative information.
  • Serves as Human Resource Administrator processing all personnel actions and associated paperwork/communication/badge and equipment procurement, etc.
  • Ensures payroll/time entry compliance and timely submission of all timesheets for the agency with no errors.
  • Liaison with COT for any office computer/technology needs or issues.
  • Disseminates HR information to all Board staff.
  • Serves as fiscal manager for the agency including creating and entering financial documents in eMars for accounts receivable, accounts payable, in-state and out-of-state travel requests, approval, documentation, and reimbursement.
  • Creates and processes personal service contracts and assists Executive Director with the biennial budget.
  • Pro card administrator.
  • Processes and manages all incoming applications/documentation for resident facilities including initial applications, change of ownership applications, change of address/location applications, and name change applications.
  • Works with inspection staff to ensure the timely approval, processing, and issuance of resident facility licenses and permits.
  • Serves as webmaster of the BOP website and works with Kentucky Interactive to ensure all functionalities on the website are operating appropriately.
  • Distributes mass email blasts at the direction of the Executive Director.
  • Facilitates RegWatch communications when new/amended regulations are filed.
  • Performs other duties as assigned.

Preferred skills and abilities:

  • Experience with eMARs preferred.
  • Ability to plan, organize, manage resources, and establish effective working relationships.
  • Ability to demonstrate regular and predictable attendance.
  • Proficient computer skills including knowledge of Microsoft Office applications.
  • Excellent written and verbal communication skills.
