Job Title

Administrative Assistant (Bilingual & Affordable), Multifamily

Job Description Summary

The Administrative Assistant provides a wide array of administrative, clerical, and basic bookkeeping support services for management in support of tenants, clients, and building staff. May also support corporate staff and functional areas as they relate to the building and client (e.g., hiring, terminations, payroll and benefit information and processing, timesheets, communications, etc.).

Scope of duties includes all common administrative and clerical functions and responsibilities and may also include tenant relations, vendor and building insurance, helpdesk support, answering phones, updating directories, preparing correspondence and communications, assisting management with bills and payables, and supporting budgets and monthly reports.

Principal Responsibilities
  1. Performs administrative and clerical support functions including answering phones, greeting clients, assisting tenants, fielding complaints, preparing correspondence, mailing, maintaining logs, scheduling, ordering supplies, maintaining files, inputting data, and preparing reports.
  2. Assists in processing accounts payable, purchase orders, handling receipts, banking, reviewing contracts, invoices, checks, coding bills, and tenant collections as needed.
  3. Coordinates tenant move-ins and move-outs, including meeting contractors, reviewing rules, securing insurance certificates, and ensuring smooth procedures. Supports Property Manager and Chief Engineer as requested.
  4. Maintains logs related to building, equipment, services, tenants, and clients; advises management on actions needed. Logs include security, safety, maintenance, cleaning, equipment, freight elevator reservations, tenant directory, emergency procedures, and incident reports.
Knowledge and Experience
  • High school diploma or GED; college credits or degree preferred.
  • Ability to work independently, multi-task, and prioritize.
  • Minimum of 2 years in an administrative role with experience in data entry, reporting, filing, answering phones, scheduling, and communication.
  • Proficient in Word, Outlook, Excel, and database applications.
  • Excellent communication skills in both oral and written forms; capable of preparing professional documents.
  • Understanding of basic accounting and finance is a plus, including accounts payable/receivable, budgets, and expenditure control.
