Job summary

BestLife Emotional Health & Wellness Center is seeking an Administrative Assistant for the Massachusetts Impaired Driver Program (MID). The role involves onboarding new patients, sending documents for the patient portal, and managing homework uploads in an on-site clinic in Springfield, MA.

You will work with the Clinic Director/Assistant Clinic Director, maintain EHR data, handle billing-related tasks, and ensure regulatory compliance while supporting licensing and accreditation efforts.

Qualifications

• Customer service experience and front desk management skills.
• Proficient with EHR systems and general computer skills.

Responsibilities

• Coordinate new patient onboarding with patients and the Central Intake team.
• Maintain accurate patient records in the EHR with up-to-date contact information and docs.
• Manage intake and homework documentation, including collection, tracking, scanning and uploading.
• Send appointment reminders and required correspondence to patients and assist with obtaining outstanding documentation.
• Enter and maintain Virtual Gateway data for MID patients (intakes, enrollments, disenrollments).
• Schedule meetings, record minutes, and coordinate with internal departments and stakeholders.
• Ensure required documentation and monthly trainings are completed promptly in compliance with regulations.
• Collaborate with MID Educators and interdisciplinary teams to maintain patient status and communication.
• Provide administrative support and guidance to supervisors, including data management and reporting.
• Support licensing and accreditation processes aligned with agency values.
