Position Title: Administrative Assistant
Assignment Location: Dakota County Technical Center, Rosemount, MN, in the Alternative Learning Program
Hours per Day: 8
Schedule: 7:30 a.m. to 3:30 p.m., Monday through Friday, 226 days (plus 8 paid holidays) = 234 days
Anticipated Start Date: July 1, 2025
Hourly Rate: $24.12 per hour per the Office and Professional Employees/Clerical Contract
Position Overview
Under the supervision of the Assistant Director/Principal, the Information Management Assistant II completes various data entry requests, maintains records, reports, database records and files, provides general information for staff, students, parents, and the general public, and performs related work as apparent or assigned. In this role, the administrative assistant must utilize knowledge of business English, spelling and arithmetic, organizational skills coordinating work flow and activities, and general knowledge of office equipment, computers, and various software programs including accounting software. The individual in this position has the ability to analyze and interpret policy and procedural guidelines. He or she must be able to type at a reasonable rate of speed, prepare effective and correct correspondences on routine matters, and perform routine office management details without referral to his or her supervisor. In this role, it is vital to communicate clearly and effectively, both orally and in written format, and to resolve problems and inquiries in a manner that establishes and maintains an effective working relationship with school personnel, students, parents, and the general public.
Responsibilities
- Manages the input and reconciliation of student database system information, grading, scheduling and reporting.
- Assists and trains staff on the usage of systems. Communicates regularly with parents for student events and data reconciliation.
- Arranges the master schedule within the student system for administrative and teacher usage.
- Completes transcript requests.
- Evaluates applications for free or reduced lunch; prepares correspondence to families requesting free and reduced lunches regarding qualification status.
- Prepares regular and irregular data reports from student database system information; presents information to administrators and outside agencies.
- Acts as an administrative assistant for the office; performs duties of an Administrative Assistant I.
- Prepares and maintains various student files.
Qualifications
- High school diploma or GED with some experience working as an administrative assistant with mid- to high-level responsibilities; administrative assistant experience in a school setting preferred.
- Self-starter with a positive attitude.
- Evidence of good communication skills, written and verbal, and good organizational skills.
- Evidence of excellent computer skills, working with Word, Excel, and Access.
- Ability to learn a variety of web based programs such as SPED Forms, Infinite Campus, and TIES/eFinance PLUS.
- Ability to problem solve under short-notice deadlines.
- Ability to work as a team member with staff, parents, and community members.
- Ability to interact and build positive relationships with students of varying ability levels and skills.
Physical Requirements
- Work regularly requires sitting and frequently requires reaching with hands and arms.
- Occasionally requires exertion of up to 25 pounds of force, standing, walking, crouching, pushing or pulling, and lifting.
- Work has standard vision requirements; vocal communication and hearing is required for expressing or exchanging ideas and perceiving information.
- Work is generally in a moderately quiet location.
