Department Information

Pathology sits at the cusp of basic and clinical sciences. The department provides timely and accurate diagnoses and laboratory testing results, supporting clinical care. It operates the Georgia Esoteric Molecular Laboratory and handles a high volume of procedures and specimens annually. The department supports clinical service, education, and research with a team of clinical and research faculty.

Job Summary

This position supports the Chairman of the Department of Pathology, Medical College of Georgia, Augusta University, by planning, organizing and managing administrative staffing resources, assisting the Department Administrator with reports and tasks, and coordinating faculty and staff processes/functions.

Responsibilities
  • ASSISTANT TO THE CHAIRMAN
    • Coordinate and manage daily activities of the Chairman's calendar, travel itineraries and schedule.
    • Initiate and complete the Chairman's travel authorizations and reimbursements for local, national and international meetings/conferences.
    • Schedule and manage meetings and meeting summary reports.
    • Provide direct clerical/administrative support in accordance with directives and deadlines.
  • CHAIRMAN'S OFFICE OPERATIONS/ ADMINISTRATIVE
    • Manage day-to-day operations of the Department of Pathology Chairman's office.
    • Provide administrative support to the Department Faculty; establish and maintain faculty, staff and departmental files.
    • Serve as back-up to the Residency Program Coordinator.
    • Compose correspondence, reports, data spreadsheets, and other directives to meet deadlines.
    • Prioritize and resolve inquiries; answer and direct phone calls; manage conference room bookings.
    • Prepare Faculty Change Position Forms (FPDs) and Position Classification Forms (PCFs); ensure approvals and OneUSG data entry; track updates for the department.
    • Collaborate with MCG Faculty Liaison, MCG Dean's Office and University Faculty Support Staff on reports and tasks.
    • Coordinate administrative support for department meetings and projects; coordinate department events and activities for faculty and staff.
    • Administrative coordinator for Department Grand Rounds Committee; coordinate guest travel, lodging and reimbursement; arrange Grand Rounds setup and itineraries.
  • FACULTY EVALUATIONS / PERSONNEL ACTIONS
    • Manage faculty actions, appointments, onboarding, retirement, and Promotion & Tenure; liaison with faculty support offices.
    • Facilitate faculty evaluation processes via PACT and OPPE.
    • Coordinate faculty recruitment, ads, interviews, visiting faculty travel, itineraries; serve as administrative coordinator for Department Search Committees; maintain OneUSG data.
    • Coordinate onboarding/out-processing for faculty; work with International Postdoctoral Services for visa approvals.
  • STAFF RECRUITMENT & PERSONNEL ACTIONS
    • Coordinate staff personnel actions for the department and Georgia Esoteric Lab; onboarding for international scholars.
  • ADMINISTRATIVE
    • Input faculty time-off data for OneUSG; review hours/leave; provide administrative support to Clinical Pathology faculty.
    • Maintain Chairman's office operations; handle departmental mail; initiate travel authorizations and reimbursements; maintain on-call schedules (QGenda).
    • Greet visitors, answer telephone calls; support the Department Administrator IV and Business Operations Specialist.
  • OTHER
    • Perform other related duties as assigned.
Required Qualifications

Associate's degree from an accredited college or university in a related field and a minimum of four years of progressively responsible experience in administrative support positions OR High School Diploma, GED, or equivalent with seven years of progressively responsible experience in administrative support positions.

Preferred Qualifications

Five to ten years of progressive executive office experience.

Shift/Salary/Benefits

Shift: Days; Monday - Friday
Salary Range: $17.88/hour - $21.92/hour
Pay Band: B5
Salary to be commensurate with qualifications within the established range.
