Job description

Position Title: Administrative Assistant 10 Month Position / Level 2

Department: Counseling Department

Reports To: Counseling Department Chair

Location: Deerfield High School

Deadline: Open until filled

Starting Pay: $22.84 per hour

Summary

The Administrative Assistant works with the Counseling Department Chair and/or the Office Manager and the clerical staff to meet the needs of students, staff, and community.

Essential Duties and Responsibilities
  • Provide secretarial support for Department Chair and counseling staff
  • Provide backup support for the Counseling Administrative Assistant
  • Work with counseling staff to meet the needs of students, staff, and community
  • Collaborate with DHS clerical staff to meet the needs of students, staff, and community
  • Manage calendars and schedule meetings for the Department Chair, Counselors, Social Workers, and 504 Coordinators
  • Assist with coding for Counselors and Social Workers
  • Work independently and collaboratively on major projects (e.g., Warrior Welcome, transfer student packets, Star Testing)
  • Interact with students regarding appointments and crisis situations
Required Knowledge, Skills, and Abilities
  • Bilingual in Spanish preferred
  • Proficiency in current technology and excellent organizational skills
  • Strong time-management skills and ability to meet deadlines
  • Ability to work independently and as part of a team
  • Effective communication skills, both oral and written
  • Ability to comprehend and follow instructions
  • Problem-solving and reasoning skills
  • Ability to build positive relationships with colleagues and students
  • Confidentiality in handling sensitive information

Physical Demands and Work Environment

Regularly required to stand, walk, sit, bend, write, type, speak, and listen. May occasionally lift up to 50 pounds. Work environment varies from quiet to loud, with temperature fluctuations. Responsible for student safety and well-being.
