About us

We are a well established and growing wealth management practice in Port Angeles looking to expand our team. We value a strong work ethic, a client first mentality, strong interpersonal skills, and a team oriented approach to our work.

The opportunity

We're seeking an organized, detailed oriented individual to provide administrative and operational support to our financial advisors while helping ensure seamless and professional client experience.

This role starts at the front desk and grows from there. You’ll begin by keeping the office running by answering phones, maintaining calendars and mail, and greeting clients. As you learn our systems, you’ll take ownership of operations: account paperwork, custodian submissions, and CRM Management.

What you'll do from the beginning
Front office and client communication
  • Professionally greet clients and visitors so every visit feels welcome.
  • Answer, screen, and route phone calls; help clients directly or take messages
  • Serve as a primary point of contact for client service and administrative requests
  • Open, screen, and distribute incoming mail; scan incoming documentation
  • Handle confidential client information professionally and discreetly
Calendar and meeting support
  • Manage advisors' calendars, schedule appointments, and prepare the master calendar
  • Confirm client appointments
  • Prepare forms, notes, and materials for client meetings
Correspondence and office support
  • Compose, type, and mail general correspondence
  • Proofread documents and marketing materials for quality and firm standards
  • Assist with filing, larger mailings, and document organization
  • Help with marketing efforts, client gifting, holiday cards, and planning client events
  • Document client calls and conversations in our CRM
What you'll grow into

With hands-on training, you'll take over core operational responsibilities:

  • Client onboarding: Guide new clients through their first interactions with us and keep them updated along the way
  • Account paperwork: Prepare, process, and track paperwork for account openings, transfers, contributions, and distributions
  • Client follow-up: Collect missing data, forms, and signatures by phone, email, and virtual meeting
  • CRM ownership: Maintain accurate client records, manage workflows, and track action items to completion
  • Compliance: Make sure documentation and processes meet firm compliance standards
  • Process improvement: Spot bottlenecks and recommend better procedures and reporting
What we're looking for

  • Strong Excel skills are essential
  • Proficient, accurate typing and data entry
  • CRM experience preferred; familiarity with Redtail, Schwab Advisor Center, Orion, Black Diamond, or eMoney is a plus
Personal qualities
  • Highly organized, with strong time management and a low error margin
  • Able to juggle multiple priorities and stay focused amid distractions
  • Excellent written and verbal communication, with a professional demeanor
  • Friendly, well-spoken, self-motivated, and client-first
  • Works independently and as a collaborative team player
  • Keeps up with company procedures and policies through ongoing self-education
Compensation and benefits
  • $20–$30/hour, depending on qualifications and experience
