Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide comprehensive administrative support, with a focus on HR, payroll, onboarding, scheduling, and purchase order processing. This role requires a proactive individual with excellent communication skills and the ability to handle a variety of tasks efficiently and confidentially.
Responsibilities:
- Human Resources (HR) Support:
- Assist with recruitment efforts, including posting job openings, scheduling interviews, and communicating with candidates.
- Maintain employee records, ensuring accuracy and confidentiality.
- Assist with onboarding new employees, including preparing new hire paperwork and coordinating orientation.
- Administer employee benefits programs, including enrollments and changes.
- Support HR-related projects and initiatives.
- Payroll Administration:
- Assist with the preparation and processing of payroll, including data entry, verifying timekeeping records, and calculating deductions.
- Respond to employee inquiries regarding payroll.
- Maintain payroll records and ensure compliance with relevant regulations.
- Onboarding:
- Coordinate all aspects of the new hire onboarding process.
- Prepare and distribute new hire packets.
- Schedule and conduct new employee orientation.
- Ensure all necessary paperwork is completed accurately and in a timely manner.
- Scheduling:
- Manage and coordinate schedules for meetings, appointments, and travel arrangements.
- Maintain calendars for key personnel.
- Assist with scheduling and coordinating company events.
- Purchase Orders:
- Create and process purchase orders in accordance with company policies and procedures.
- Track orders and ensure timely delivery of goods and services.
- Maintain accurate records of purchases and vendor information.
- Resolve any discrepancies or issues with orders.
- General Administrative Support:
- Provide general administrative and clerical support, including answering phones, greeting visitors, and managing correspondence.
- Prepare and edit documents, reports, and presentations.
- Maintain office supplies and equipment.
- Assist with special projects as needed.
Qualifications:
- Proven experience as an Administrative Assistant or in a similar role.
- Strong knowledge of HR practices and procedures.
- Experience with payroll processing is highly desirable.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and exercise discretion.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- High school diploma or equivalent; additional education or certification is a plus.
- Previous Point of Sale/Cashier experience is preferred.
- Must be able to work weekends on a rotating schedule.
- Physical requirements include being able to stand for an extended period, walk, reach and bend to perform job requirements, as well as the ability to move and handle merchandise.
