Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide comprehensive administrative support, with a focus on HR, payroll, onboarding, scheduling, and purchase order processing. This role requires a proactive individual with excellent communication skills and the ability to handle a variety of tasks efficiently and confidentially.

Responsibilities:

  • Human Resources (HR) Support:
    • Assist with recruitment efforts, including posting job openings, scheduling interviews, and communicating with candidates.
    • Maintain employee records, ensuring accuracy and confidentiality.
    • Assist with onboarding new employees, including preparing new hire paperwork and coordinating orientation.
    • Administer employee benefits programs, including enrollments and changes.
    • Support HR-related projects and initiatives.
  • Payroll Administration:
    • Assist with the preparation and processing of payroll, including data entry, verifying timekeeping records, and calculating deductions.
    • Respond to employee inquiries regarding payroll.
    • Maintain payroll records and ensure compliance with relevant regulations.
  • Onboarding:
    • Coordinate all aspects of the new hire onboarding process.
    • Prepare and distribute new hire packets.
    • Schedule and conduct new employee orientation.
    • Ensure all necessary paperwork is completed accurately and in a timely manner.
  • Scheduling:
    • Manage and coordinate schedules for meetings, appointments, and travel arrangements.
    • Maintain calendars for key personnel.
    • Assist with scheduling and coordinating company events.
  • Purchase Orders:
    • Create and process purchase orders in accordance with company policies and procedures.
    • Track orders and ensure timely delivery of goods and services.
    • Maintain accurate records of purchases and vendor information.
    • Resolve any discrepancies or issues with orders.
  • General Administrative Support:
    • Provide general administrative and clerical support, including answering phones, greeting visitors, and managing correspondence.
    • Prepare and edit documents, reports, and presentations.
    • Maintain office supplies and equipment.
    • Assist with special projects as needed.

Qualifications:

  • Proven experience as an Administrative Assistant or in a similar role.
  • Strong knowledge of HR practices and procedures.
  • Experience with payroll processing is highly desirable.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise discretion.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • High school diploma or equivalent; additional education or certification is a plus.
  • Previous Point of Sale/Cashier experience is preferred.
  • Must be able to work weekends on a rotating schedule.
  • Physical requirements include being able to stand for an extended period, walk, reach and bend to perform job requirements, as well as the ability to move and handle merchandise.
