Administration Assistant - Central New York, NY, 10017 USA - up to $45k + benefits and generous annual leave (c40 days including public holidays)

We are recruiting for a detail-oriented and proactive Administration Assistant, with clear and fluent English, to join an organisation in their New York office.

Based in offices near Grand Central Station and the United Nations Building, and working Monday to Friday 9am to 5pm, you will be working in a small yet busy team, assisting with registration transactions, processing compliance documentation, maintaining databases and undertaking basic accounts.

Suitable candidates for this Registrations Administrator role will ideally have previous experience working in a government office where liaising with diplomats is a daily occurrence.

Key responsibilities as the Registrations Administrator in New York City include:

  • Assisting in the completion of registration transactions (applications, renewals and deletions)
  • Updating and maintaining databases and registration filing systems (digital and physical)
  • Assisting with basic accounts, invoicing and tracking of payments
  • Processing legal documentation
  • Drafting and formatting correspondence, reports and internal memos
  • Liaising with diplomats and external contacts
  • Corresponding with clients via telephone and email
  • Scheduling and coordinating meetings
  • General office administration
  • And more.

What we’re looking for:

  • Strong academic achievements including a Bachelor’s degree (or equivalent)
  • Previous experience in a similar administration role, ideally in a Government office
  • Impeccable written and spoken communication skills including clear and fluent English
  • Perfect grammar, spelling and punctuation
  • Previous experience liaising with diplomats is highly advantageous
  • IT skills including MS Office and database management
  • Proactive, meticulous, calm and organised nature with a professional and courteous outlook
  • Ability to work on own initiative
  • Ability to commute into Central New York
  • Flexibility to travel when needed
