Job summary

Exponent, Natick, MA, is seeking an Administrative Assistant II to join our collaborative team of consultants and staff in-office. You will support project setup, scheduling, travel, and document management, helping consultants stay focused on client outcomes.

The ideal candidate is organized, detail-oriented, and proactive, with 3+ years of admin experience, plus strong MS 365 skills and comfort working in a fast-paced, professional services environment.

Qualifications

  • Bachelor’s degree preferred.
  • 3+ years of administrative experience supporting teams and senior-level staff.
  • Professional services or law firm experience a plus.
  • Strong attention to detail with the ability to manage multiple priorities.
  • Proactive and adaptable, with the ability to anticipate needs in a fast-paced environment.
  • Excellent written and verbal communication skills, including editing and proofreading.
  • Advanced proficiency in Microsoft 365 (Word, Outlook, Excel, PowerPoint, Teams).
  • Eager to learn and quickly adopt new systems and processes.
  • Able to prioritize, meet tight deadlines, and collaborate effectively across teams.
  • Discretion, sound judgment, and professionalism when handling sensitive information.
  • Experience with AI-enabled tools to enhance productivity, improve work quality, and support business operations.
  • Understands the capabilities, limitations, and risks of AI tools and applies critical thinking to verify outputs and determine appropriate use cases

Responsibilities

  • Initiate and manage project setup in internal systems, including running conflict checks.
  • Prepare retention letters and statements of work.
  • Edit documents for formatting, grammar, spelling, and overall clarity.
  • Organize project materials, maintaining accurate logs.
  • Support purchasing requests and accounts receivable follow-up.
  • Coordinate and manage calendars, meetings, and travel logistics.
  • Prepare expense reports.
  • Respond to and anticipate consultant needs with timely administrative support; support ad-hoc requests.
  • Serve as a point-of-contact, communicating professionally with clients on behalf of consultants, ensuring clear, timely, and accurate correspondence.
  • Ensure and maintain compliance with company policies across all project setup and documentation.
  • Leverage AI-enabled tools and identify opportunities to improve administrative efficiency, document quality, and workflow effectiveness, collaborating with manager to implement practical solutions while maintaining accuracy, confidentiality, and adherence to company standards.
  • Evaluate and validate AI-generated outputs using sound judgment and domain knowledge, ensuring work products are accurate, reliable, and appropriate for business use

Our Opportunity

We are currently seeking an Administrative Assistant II to join our team in our Natick, MA office. In this role, you will be part of a collaborative administrative team providing day-to-day support to consultants and corporate staff. This is a full-time, in-office position.


The ideal candidate is a reliable team player with a positive, can-do attitude and strong work ethic. This individual is highly organized, detail-oriented, and eager to learn, with the ability to manage multiple priorities in a fast-paced environment.


Qualified candidates who are selected to participate in our screening processfor thisrole will be asked to take an editorial assessment via Microsoft Word prior to a potential formalinterview.


You will be responsible for

Consultant / Project Support



  • Initiate and manage project setup in internal systems, including running conflict checks

  • Prepare retention letters and statements of work

  • Edit documents and reports for formatting, grammar, spelling, and overall clarity

General Office Support



  • Provide rotating front desk coverage during breaks

  • Maintain and organize common areas, including supply room, conference rooms, and pantries

  • Assist with incoming and outgoing shipments and deliveries

  • Support onsite meetings, including room setup, technology coordination, and catering

  • Contribute to and support a positive office culture through assisting with events and employee activities


You will have the following skills and qualifications
