Job summary

Microbial Discovery Group in Franklin, WI is seeking an Administrative Assistant to act as the primary front-office contact and provide essential administrative, office, and facilities support across MDG's multi-site operations. This role ensures a professional, organized, and welcoming experience for employees, visitors, customers, and vendors.

The ideal candidate will be highly organized, discreet, and capable of managing multiple priorities in a fast-paced environment, with a Monday–Friday

Qualifications

  • High school diploma or equivalent.
  • Five years of experience in administrative support or related role.
  • Ability to organize work, meet deadlines, and prioritize multiple tasks.

  • Maintain confidentiality and exercise sound professional judgment.
  • Ability to work independently and collaboratively in a fast-paced environment.

Responsibilities

  • Serve as the first point of contact for employees, visitors, customers, and vendors.
  • Greet, register, and direct visitors according to safety requirements.
  • Maintain a professional, organized, and welcoming reception area.
  • Coordinate meeting schedules, conference rooms, and related logistics.
  • Maintain calendars, directories, contact lists, and shared administrative records.
  • Prepare, scan, file, and retain administrative documents.
  • Assist with administrative SOPs and document updates as assigned.
  • Monitor office-supply inventory and place orders.
  • Coordinate basic office-equipment troubleshooting and vendor requests.
  • Support meeting and event setup, materials preparation, cleanup, and follow-up.
  • Travel between MDG sites to provide on-site administrative support.

Key Responsibilities
  • Serve as the first point of contact for employees, visitors, customers, and vendors.
  • Greet, register, and direct visitors in accordance with facility-access, GMP, and safety requirements.
  • Maintain a professional, organized, and welcoming reception area.
  • Coordinate meeting schedules, conference rooms, training sessions, customer visits, and related logistics.
  • Maintain calendars, directories, contact lists, and shared administrative records.
  • Prepare, scan, file, copy, and retain administrative documents and records.
  • Assist with administrative SOPs, forms, and controlled-document updates as assigned.
  • Monitor office-supply inventory, place orders, and maintain organized supply and storage areas.
  • Coordinate basic office-equipment troubleshooting and vendor service requests, as needed.
  • Support meeting and event setup, materials preparation, cleanup, and follow-up.
  • Travel between MDG sites as scheduled to provide on-site administrative support.
Additional Responsibilities
  • Receive, sort, and distribute packages, mail, and deliveries as assigned.
  • Support facility readiness by maintaining orderly shared office spaces and common areas.
  • Identify and communicate practical process-improvement opportunities to leadership.
  • Support cross-functional initiatives when assigned and prioritized by leadership.
  • Maintain strict confidentiality regarding company, employee, customer, and vendor information.
  • Work is primarily performed in a temperature-controlled office environment.
  • The position requires regular interaction with employees, visitors, vendors, and customers.
  • Work may involve supporting operations across multiple MDG facilities.
  • The role requires the ability to manage changing priorities while maintaining a professional, service-oriented approach.
Minimum Qualifications
  • High school diploma or equivalent.
  • Five years of experience in administrative support, reception, office coordination, customer service, or a related role.
  • Demonstrated ability to organize work, manage deadlines, and prioritize multiple tasks.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and exercise sound professional judgment.
  • Ability to work independently and collaboratively in a fast-paced environment.
Preferred Qualifications
  • Five or more years of experience in administrative support, reception, office coordination, or customer service.
  • Experience supporting a multi-site, manufacturing, laboratory, food-production, or regulated environment.
  • Experience coordinating meetings, training sessions, customer visits, or company events.
Technical Skills
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Ability to operate office equipment and document-management systems.
  • Ability to maintain electronic calendars, directories, contact lists, and shared administrative records.
  • Familiarity with basic office-supply ordering and vendor coordination processes.

  • Ability to occasionally lift and carry office supplies, packages, and materials weighing up to 30 pounds, with or without reasonable accommodation.
  • Adherence to all company safety procedures, GMP requirements, and facility-access protocols.
