Vylor, Inc. is seeking an Administrative Assistant to support the North America Pioneer Agency Marketing Leader and the Multi-Channel Seeds Marketing Leader.

The role manages complex calendars, coordinates domestic and international travel, and handles communications for senior leaders in a fast-paced, matrixed environment. Responsibilities include preparing materials, organizing meetings and events, maintaining documentation, and overseeing expense processing and purchasing.

Qualifications

  • High school diploma or equivalent.
  • Minimum of three years’ administrative experience.
  • Proficient with Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Attention to detail and strong multitasking abilities.
  • Uphold health and safety standards and company policies.

Responsibilities

  • Manage complex, dynamic calendars for marketing leaders and prioritize requests.
  • Coordinate domestic travel with frequently changing itineraries and prepare documentation.

This role is responsible for managing schedules, coordinating travel and meetings, preparing materials, and executing administrative processes that enable the marketing organization to operate efficiently and deliver on commercial priorities. The position requires sound judgment, discretion, and the ability to anticipate needs in a fast-paced, matrixed environment.Key ResponsibilitiesLeader and Team SupportManage complex, dynamic calendars for marketing leaders, prioritizing competing requests and proactively optimizing their time.Coordinate domestic and international travel arrangements, including frequently changing itineraries, and prepare associated documentation.Manage communications on behalf of marketing leaders and serve as a professional point of contact for senior leaders, external agency partners, cross-functional peers, and field marketing teams.Meeting and Event CoordinationPrepare and organize briefing materials, agendas, and presentations to ensure leader and team readiness for internal and external meetings.Plan and execute team meetings, offsites, agency and customer engagements, and marketing events, both onsite and offsite.Capture meeting notes, track action items, and maintain shared documentation and team sites (Teams, SharePoint, distribution lists).Administrative OperationsProcess and reconcile expense reports with accuracy and discretion.Manage purchasing, accounts payable, and accounts receivable activities on behalf of the supported marketing teams.Coordinate onboarding logistics for new marketing team members based in Johnston.Support marketing data entry, campaign tracking, and event recording as required.Ensure administrative processes and workflows remain accurate, efficient, and compliant with company policy.Cross-Functional CoordinationPartner with Technology, Human Resources, Facilities, and other enterprise functions to resolve team needs and remove barriers.Support ad hoc projects aligned with Commercial Marketing priorities.Perform additional responsibilities as assigned.Education:You have a high school diploma or equivalentWhat Skills You Need:You have a minimum of three (3) years’ administrative experienceYou are comfortable with technology and have strong computer skills, including proficiency with Microsoft Office applications such as Outlook, Word, Excel, and PowerPoint. You are also willing and able to learn and effectively use company-specific software and systems as needed.You have good written, verbal, and interpersonal communication skills with the ability to communicate effectively with internal and external customersYou have high attention to detail can multitask, maintain an organized workplace, and have excellent problem-solving skillsYou uphold health and safety to the highest standard!
